Position Summary
We are seeking a highly organized and experienced Medical Office Manager to lead our family medical practice. The Office Manager will oversee daily operations, ensure smooth coordination between clinical and administrative staff, and support the delivery of holistic, patient-centered care. This role will have oportunity for multi-practice role. This role requires strong leadership, operational expertise, and the ability to foster collaboration among providers, including the Family Nurse Practitioner, Licensed Professional Counselor, Medical Assistants, and Reception staff.
Key Responsibilities
Leadership & Staff Management
- Supervise, train, and support front office staff, medical assistants, and other team members to ensure efficient workflows and high-quality patient service.
- Foster collaboration across the care team, including the Family Nurse Practitioner and Licensed Professional Counselor, to deliver integrated physical and behavioral healthcare.
- Conduct regular staff meetings, provide feedback, and support professional development.
Patient Care & Engagement Oversight
- Ensure that patients receive compassionate, timely, and holistic care from initial contact through follow-up.
- Oversee scheduling processes to optimize provider calendars and minimize wait times.
- Promote a culture of patient-centered service, engagement, and education across the practice.
Operations & Compliance
- Manage daily operations, including scheduling, billing, insurance verification, and patient record accuracy.
- Ensure compliance with HIPAA, OSHA, and all federal/state healthcare regulations.
- Monitor performance metrics, patient satisfaction, and workflow efficiency, implementing improvements as needed.
- Maintain a safe, organized, and welcoming office environment.
- Monitor billing and collections to ensure accurate reimbursement and revenue cycle management.
- Act as a liaison between patients, staff, and providers to address concerns and maintain trust.
Qualifications
- Bachelor’s degree in Healthcare Administration, Business Management, or related field.
- Minimum 3–5 years of experience in medical office management or healthcare operations.
- Knowledge of medical terminology, healthcare regulations, and integrated care models.
- Strong leadership skills with experience managing multidisciplinary teams.
- Proficiency in EHR and practice management software.
