Office Manager
ABOUT CSM INDUSTRIAL
CSM Industrial is a Houston-based specialty contractor focused on heavy industrial siding and metal roofing for the Gulf Coast region. Our clients include power plants, refineries, LNG facilities, and petrochemical plants. We take pride in delivering complex, safety-critical projects on time and on budget. As we enter an exciting period of growth and leadership transition, we are building a strong administrative team to carry our operations forward.
POSITION OVERVIEW
The Office Manager is a key operational role responsible for the financial and human resources backbone of CSM Industrial. This individual will own accounts payable, payroll processing, recruiting & onboarding, and benefits administration. This position is being created to ensure continuity and growth as the company transitions from its founding management structure. You will work closely with the General Manager and existing accounting staff to assume full ownership of these functions within six months.
KEY RESPONSIBILITIES
Accounts Payable
• Receive, verify, and match vendor invoices; receive into ComputerEase (CE) with invoice attachments
• Coordinate with receptionist for scanning/routing of paper invoices
• Manage weekly Wednesday payables cycle: print checks, execute ACH payments, and approve at bank
• Match all payments to invoices post-disbursement; ensure files and job folders are updated
Payroll
• Collect and import weekly timesheets into the payroll system; review and process by Monday
• Coordinate with field leadership on per diem, pay rate changes, and payroll inserts
• Submit payroll to bank and obtain required approvals
• Track PTO on administrative timesheets and ensure accuracy in CE
• Implement the use of electronic timesheet reporting and new HRIS systems as business grows
HR – Recruiting & Onboarding
• Receive and route employment applications; communicate with candidates throughout the hiring process
• Coordinate pre-employment background checks and drug testing in accordance with site-specific requirements
• Set up new employees in ComputerEase and initiate E-Verify process
• Coordinate with employees and management to schedule safety council and site-required training for new hires
Benefits Administration
• Enroll new hires in the e-Navigator benefits portal; distribute benefit notices and employee handbook
• Respond to employee benefits questions and assist with plan changes throughout the year
• Lead annual benefits review and plan selection in coordination with Chief People Officer and broker
General Office Administration
• Manage incoming mail: receive, sort, and route to appropriate departments or personnel
• Administer time-off requests: approve, notify foremen, and track on the payroll calendar
• Approve banking payments and ACH transactions in partnership with the GM
• Support day-to-day office operations to ensure a professional and productive environment
REQUIRED QUALIFICATIONS
• 5+ years of experience in office management, accounting support, or a similar administrative leadership role
• Proficiency in payroll processing and accounts payable workflows (ComputerEase experience a strong plus)
• Working knowledge of HR functions: recruiting, onboarding, I-9/E-Verify, and benefits administration
• Strong attention to detail with the ability to manage multiple deadlines simultaneously
• Excellent written and verbal communication skills
• Proficient in Microsoft Office Suite (Word, Excel, Outlook)
PREFERRED QUALIFICATIONS
• Experience in construction, industrial contracting, or a field-operations-driven business
• Familiarity with union or craft labor payroll practices in the Gulf Coast market
• Prior experience managing benefits enrollment cycles and carrier relationships
