Job Title: Administrative Assistant (Field Office)
Core Pillars of the Role
- Logistical Command: Unlike a typical office, you are responsible for arranging travel, housing and ground transport for employees who may be moving between sites, requiring high adaptability.
- Field-Specific Support: You will liaise with vendor and contractors directly, managing site-specific deliveries and program tracking databases that are unique to that field location. Manage inventory and distribution of office supplies and specialized field equipment to ensure seamless operations for both administrative and field personnel.
- Financial & Operational Oversight: You will handle expense reports and invoices, ensuring that the field team has the supplies and equipment maintenance they need to keep working without delays.
- Information Management: You serve as the "Communication Hub," managing inquiries and sensitive data while ensuring all digital and physical filing systems are up to date for reporting.
Essential Skills for Success
- Dynamic Multitasking: The ability to switch between clerical tasks and urgent logistical needs (like a missed field delivery or equipment failure).
- Software Proficiency: Strong MS Office skills are required to compile data into meaningful field reports.
- Discretion: Handling confidential information regarding project budgets, personnel, or site-specific data.
