IMG Assistant I
: Work Days: Monday - Friday | Hours of Operation: 8:00am - 5:00pm

Position Overview:
This role provides comprehensive administrative and operational support to the IMG Operations Officer and Portfolio Managers within the Investment Management Group (IMG). Responsibilities include preparing client correspondence, maintaining department records, assisting with marketing materials, ensuring regulatory compliance, and supporting overall investment operations. The role requires strong organizational skills, attention to detail, and effective communication abilities to support the IMG's objectives efficiently.
Essential Functions:
- Draft and prepare authorization letters, confirmations, and client correspondence as requested.
- Manage departmental administrative tasks, including ordering supplies, handling primary phone coverage, maintaining IMG files, and coordinating file access for portfolio managers.
- Prepare, print, and bind presentation booklets and materials for client and prospect meetings as directed by the IMG Operations Officer or portfolio managers.
- Collaborate with the IMG Operations Officer to produce client and prospect presentation materials tailored to business development initiatives.
- Assist in maintaining and updating marketing materials to support the Investment Management Group and Wealth Management Division.
- Oversee the processing, monitoring, and maintenance of proxy voting activities, ensuring compliance with deadlines and regulatory requirements.
- Support the implementation of guidelines and best practices related to the completion and recording of monthly Reg. 9 investment reviews.
- Aid in the preparation and submission of regulatory compliance reports in coordination with the IMG Operations Officer.
- Provide direct customer support in-person and via telephone, offering information and assistance in the absence of investment officers.
- Assist investment team members, including portfolio managers, traders, specialists, and office coordinators, with diverse investment-related tasks as required.
- Perform additional duties as assigned by the Chief Investment Officer (CIO) of the Investment Management Group
- This position may require travel within the Bank's geographic area.
Experience & Education:
- High school diploma or equivalent.
- Proficiency in Microsoft Windows Office Suite (Word, Excel, PowerPoint, Outlook).
- Three years of experience working in an office environment is a plus.

- Requires the ability to lift, carry, push, pull weights or otherwise move objects weighing as much as 10 lbs. on a regular basis and/or for extended periods of time during the workday.
- Occasional overtime or extended hours may be required.
