Accounts Payable Specialist
Description
Summary/Objective
The Accounts Payable Specialist is responsible for monitoring the Company’s outflow of capital.
Essential Functions
- Daily On-Site Attendance.
- Matches, batches, codes, and enters invoices into NetSuite, ensuring the correct department and facility are specified.
- Ensures all invoices receive proper approval before being entered into NetSuite.
- Scans all keyed invoices into a permanent file and uploads them to NetSuite.
- Prepares payment approval file and sends to Controller for review.
- Runs A/P payments weekly or as needed.
- Researches and resolves all accounts payable issues that may arise either internally or with a vendor.
- Calculates and codes the sales tax on taxable invoices when the vendor fails to include the correct tax.
- Assists with month-end close processes, including ensuring proper receiving cut-off and creating accruals for any un-invoiced receipts or shipping charges.
- Maintains accurate vendor records as to terms, payment, and contact information.
- Researches and approves new vendors and creates new vendor accounts.
- Works collaboratively with various departments as needed, including Sales & Marketing, Supply Chain Management, and Human Resources.
- Answers the Company phone, opens the front door, greets visitors, and directs visitors to the appropriate person or place, as needed.

Supervisory Responsibility
This position has no direct supervisory responsibilities.
Environment/Physical Requirements
The ideal candidate must be able to complete all physical requirements of the job with or without reasonable accommodation.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to access and navigate each department in the Office.
- Ability to lift up to 15 lbs.
Position Type and Expected Hours of Work
This is a full-time position with working hours from 8:00 AM to 5:00 PM, Monday through Friday. However, depending on workload there may be occasional longer days and occasional weekends as needed. Employee is expected to work the necessary hours to complete all tasks on time and to a satisfactory standard.
Travel
Travel is not required for this position.
Education and Experience
· High school diploma required; Business or Accounting degree preferred.
· 5-7 years of accounts payable or general accounting experience preferred.
· Certified Accounts Payable Professional (CAPP) certification preferred.
