Position Summary
The Treatment Care Coordinator is responsible for converting diagnosed treatment into scheduled and completed care by guiding patients through their treatment plan, financial options, and next steps with clarity and confidence. This role serves patients and providers by removing barriers to care, ensuring patients understand the full value of recommended treatment, and maintaining accountability for the complete cycle from diagnosis to production. The core purpose is to drive case acceptance, reduce unscheduled treatment value, and ensure that every diagnosed dollar has a clear and committed path to the chair.
Core Responsibilities
Level II: Independent case presentation, financial coordination, and unscheduled treatment conversion.
Case Presentation & Acceptance
- Present treatment plans clearly and confidently immediately following provider diagnosis, ensuring patients understand their clinical condition, the urgency of care, and the long-term value of completing recommended treatment.
- Explain insurance benefits, out-of-pocket responsibility, and available payment or financing options in plain language that reduces confusion and supports confident patient decision-making.
- Convert diagnosed treatment into scheduled appointments with appropriate urgency and a patient-centered approach that prioritizes trust over pressure.
- Identify and support same-day treatment opportunities in real time through close collaboration with providers and the clinical team.
Unscheduled Treatment & Follow-Up
- Manage the unscheduled treatment list through consistent outreach, proactive follow-up, and targeted re-engagement of patients with open or pending treatment.
- Build patient trust through clear, consistent communication, reliable follow-through, and a genuine commitment to helping patients access the care they need.
- Track and report case acceptance rates, unscheduled treatment value, and same-day conversion outcomes to practice leadership.
Financial Transactions & Documentation
- Collect patient payments, process financial arrangements, and manage co-pay and balance collection accurately at time of service.
- Maintain accurate ledger postings and thorough patient account documentation in the practice management system.
Education & Qualifications
Required Experience
- 1-2 years of dental or healthcare front office experience with demonstrated exposure to treatment presentation or financial coordination.
- Ability to communicate financial information clearly, address patient objections professionally, and guide patient decisions without applying pressure.
Required Education
- High school diploma or equivalent.
Preferred:
- Experience with dental insurance plans, benefit breakdowns, and third-party financing options (e.g., CareCredit, Sunbit).
- Proficiency in dental practice management software.
- Demonstrated track record of strong case acceptance rates, unscheduled treatment conversion, and patient account management.
