Role Summary
Austin Bazaar is seeking a highly organized, proactive, and execution-driven Executive Assistant to directly support the CEO and serve as the CEOs on-site liaison within the warehouse office.
This role ensures the CEOs time is protected, priorities move forward, and communication between leadership and the warehouse team remains clear, structured, and accountable.
The ideal candidate is assertive yet professional, detail-oriented, comfortable following up persistently, and capable of reinforcing company policies and operating standards with consistency.

Core Responsibilities
Executive & Administrative Support
- Own and manage the CEOs calendar with strategic prioritization (protect focus time, prevent scheduling conflicts, ensure preparation time).
- Coordinate meetings including agenda preparation, note-taking, action tracking, and follow-ups.
- Prepare documents, summaries, reports, and presentations as needed.
- Anticipate upcoming deadlines and proactively prepare materials or reminders.
Email & Communication Management
- Monitor and triage the CEOs inbox daily; identify urgent vs. non-urgent matters.
- Draft professional responses for CEO review and approval.
- Send follow-ups to internal stakeholders to ensure commitments and timelines are met.
- Maintain clean communication loopsno dropped requests, no unclear directives.
Warehouse Office Liaison & Policy Reinforcement
- Serve as the CEOs physical presence and coordination point in the warehouse office.
- Relay leadership updates clearly and ensure accurate understanding.
- Surface issues, operational concerns, or policy deviations early.
- Reinforce adherence to company policies including:
- Attendance expectations
- Safety standards
- Process compliance
- Professional conduct
- Coordinate with warehouse leadership to ensure execution of CEO directives.
This role requires confidence and professionalism in reinforcing standardsnot authority over managers, but consistent follow-through and accountability tracking.
Coordination & Execution Tracking
- Maintain structured tracking systems for CEO initiatives, open items, and cross-department commitments.
- Ensure action items are documented and followed through.
- Support coordination across teams for launches, operational priorities, and deadlines.
- Assist in planning internal meetings, leadership visits, or warehouse-based events.
Success Metrics
Success in this role means:
- The CEOs calendar is realistic, organized, and aligned with priorities.
- The inbox is triaged daily and actionable.
- Action items are tracked and completednothing falls through the cracks.
- Communication between the CEO and warehouse leadership is clear and timely.
- Company standards and policies are consistently reinforced at the warehouse office.
Required Qualifications
- 5+ years of experience supporting senior leadership (Executive Assistant, Operations Coordinator, or similar role).
- Demonstrated strength in calendar and email management.
- Strong judgment and prioritization skills.
- Excellent written and verbal communication.
- High discretion and ability to handle sensitive information.
- Comfortable working in a warehouse office environment.
Preferred Qualifications
- Experience in e-commerce, retail, logistics, or warehouse operations.
- Experience supporting a remote executive.
- Familiarity with SOP-based environments and operational accountability.
- Strong proficiency in Google Workspace or Microsoft Office.
