Branch Administrator
The Branch Administrator will be responsible for all branch administrative and support duties while being a liaison between human resources, payroll, and accounting. The successful candidate provides timely and accurate reporting, ensuring accountability within the branch as it relates to accounting follow up, and billing to ensure branch progress toward goals is tracked accurately.
Responsibilities
Branch Support
- Bill recurring contracts and work orders for the branch in a timely and accurate manner
- Ensure accountability by proactively following up with managers on outstanding purchase orders and documentation, driving timely compliance with accounting processes
- Report and manage account receivables for the branch, including collections, lien waivers, and pay apps
- Process customer credits
- Set up new customer and ensure accurate information is provided
- Manage and maintain customer lists
- Provide support for new contracts and contract renewals
- Review opportunities for change orders, ensuring accuracy
- Assist the Branch Manager in tracking progress of branch budgets
- Assist with time off requests and forward PTO calendar reminders to the team
- Based on business needs, schedule a day to arrive at the office early or stay late to assist with employee questions
- Assist with bilingual translation between frontline employees and other team members
- Assist Branch Manager with team building events, i.e., lunches and outside activities
- Order office supplies/front-line uniforms as needed
Accounting Support
- Manage and maintain end-of-month closing procedures performed throughout the month
- Manage and analyze month-end reporting processes to support Branch Manager
- For example: Revenue, Labor, and Cost of Goods Sold
- Flag discrepancies and provide insights for corrective action
- Manage the purchase receipts and credit process with support team and vendors
- Aid Branch Manager with expense reporting (RAMP)
HR/Payroll Support
- Provide general support to the branch in benefits and payroll, such as password resets
- Turn in paperwork to HR for team members, including:
- Uniform acknowledgment form
- Uniform payroll deduction form
- Cell phone/iPad acknowledgement form
- Act as a liaison and partner to HR with questions as needed
- Provide front-line support with company applications
- Assist with timecard corrections and submit to payroll
Additional Tasks
- Perform other incidental and related duties as required
- Additional responsibilities assigned by corresponding Branch Manager
Requirements
- Bachelor’s or Associate degree preferred
- Minimum 3-years of experience in an administrative role or customer service/ client experience
- Must have a minimum of 2-3 years of experience with Microsoft Office 365 (Excel, Word, Outlook, SharePoint) with exceptional Excel skills
- Experience with Aspire software preferred
- Bilingual in Spanish/English required
