Provider Relations & Refunds Specialist

What You'll Do Daily

Relationship Building & Communication (Core Focus)

  • Contact healthcare provider offices to explain refund requests with professionalism and empathy
  • Navigate to the right department/decision-maker (typically accounts payable, practice manager, or billing)
  • Build trust-based relationships that facilitate smooth refund processing
  • Overcome objections diplomatically using your healthcare knowledge and our supporting documentation
  • Communicate the rationale for refund requests clearly and persuasively

Case Management & Execution

  • Own your portfolio of cases from initial contact through payment receipt
  • Advance 30+ cases daily through strategic follow-up and relationship nurturing
  • Make 30+ productive calls per day with purpose and efficiency
  • Maintain meticulous case notes using our standardized templates

Performance & Results

  • Achieve monthly recovery goal of payments received
  • Meet daily productivity metrics while maintaining quality relationships
  • Approach each case with urgency balanced with professionalism
  • Adapt your communication style based on provider responsiveness and concerns

What You Bring

Required Qualifications:

  • 2-5 years of healthcare practice management experience (revenue cycle management, practice administration, office management, billing supervision, or similar client-facing healthcare operations roles)
  • Bachelor's degree from an accredited university
  • Strong understanding of:
    • Healthcare revenue cycle management
    • Medical practice operations and workflows
    • Accounts payable and collections processes
    • Medical billing and coding basics
  • Excel proficiency (you'll work with case data, tracking, and reporting)
  • Exceptional interpersonal skills – you can build rapport quickly and maintain it under pressure

Work Environment & Schedule

  • Location: On-site in Farmers Branch, TX (100% in-person collaboration)
  • Schedule: Monday–Friday, 8:00 AM – 4:30 PM
  • No weekends, evenings, or holidays!
  • Punctuality and consistent attendance are essential to team success and achieving metrics
