Description:

We are seeking an Office Administrator to ensure smooth day-to-day operations in our Austin office. This role is the first point of contact for visitors, supports administrative and logistics tasks, and works closely with the Office Manager to keep the team unblocked and productive.
Key Responsibilities:
- Greet guests, manage check-ins, handle calls and correspondence, and maintain a professional office environment.
- Oversee day-to-day office operations, including mail, deliveries, supplies, and coordination to support team efficiency.
- Coordinate and track shipments for marketing materials and remote/new hire kits; maintain inventory and ensure timely, accurate delivery.
- Process mail, receipts, and invoices; maintain organized filing systems, trackers, and documentation for smooth office workflows.
- Support vendor coordination and handle facilities issues in the absence of the Office Manager or Facilities Technician.
- Assist with office events, team activities, and onboarding logistics to ensure a seamless experience for new hires.
Required Qualifications:
- 1–3 years of experience in administrative, office support, or customer service roles.
- Highly organized, detail-oriented, and capable of following through on tasks consistently.
- Excellent communication skills and professional demeanor; proactive in anticipating needs.
- Comfortable managing multiple priorities in a fast-paced startup environment.
- Tech-savvy, quick to learn new systems; proficiency with Microsoft 365, SharePoint, and Slack preferred.
- Knowledge of secure workplace practices, including visitor logs, badge compliance, and familiarity with regulated environments (CMMC/ITAR frameworks).
- Startup, tech, or engineering environment experience is a plus, as is experience with shipments, inventory, or logistics.
