The Secretary is responsible for accounting procedures and financial documents as assigned to the Maintenance and Facilities department. QUALIFICATIONS: Education/Certification: TEA certification requirements High school diploma or GED Ability to type 45 words per minute (60 or more words per minute is preferred) Two years of college course work in typing, shorthand, general business practices, and accounting-related subjects preferred Extensive experience in performing stenographic and clerical work A thorough knowledge of the operations, functions, and general scope of authority of the School Administration and School Board The ability to handle delegated administrative details The ability to write clear and concise memoranda, directives, or letters without close supervision The ability to carry out instructions and develop comprehensive plans with a minimum of supervision The ability to establish and maintain effective working relations with all district employees as will as the general public Must be 18 years of age Special Knowledge/Skills: Knowledge of accounting principles and practices Ability to use calculator (10-key by touch) Ability to use personal computer and software to develop spreadsheets and word processing Proficient skills in typing, keyboarding, and file maintenance Ability to work with numbers in an accurate and rapid manner to meet established deadlines Driver's License and vehicle Experience: Minimum five years of accounting or bookkeeping and secretarial experience MAJOR RESPONSIBILITIES AND DUTIES: - Receives visitors, ascertains the purpose of the visit, attends to visitor's business or refers him/her to the proper person or office.
- Maintains effective public relations with the general public
- Keeps informed on local and state laws, rules and regulations, explains applicable regulations and policies to appropriate persons
- Reviews incoming and outgoing correspondence, memoranda, reports and similar materials for the purpose of summarizing and/or referring to proper persons
- Prepares correspondence, memoranda, forms, requisitions, and other records
- Performs necessary bookkeeping functions such as simple statement analysis, appropriate records for executive, banking operations, bookkeeping systems, etc.
- Makes necessary decisions in accordance with established policies and regulations
- Sorts Department and regular mail.
- Keeps up with payroll on a daily basis for personnel when required.
- Orders office supplies.
- Type purchase orders.
- Upkeep of all office equipment to be maintained and or serviced.
- Prepares financial documents as directed.
- Posts purchase orders and payment authorizations
- Processes purchase orders.
- Balances vendor statements as needed.
- Maintains confidentiality.
- Keeps balances on purchase orders.
- Makes daily deposits or necessary.
- Reconciles bank statements.
- Processes purchase orders and partial payments for construction projects.
- Performs all duties in a safe manner to avoid injury to oneself and/or to others.
- Perform other related duties as assigned.

WORKING CONDITIONS: Mental Demands/Physical Demands/Environment Demands: - Occasional prolonged irregular hours; maintain emotional control under stress; repetitive hand motions; prolonged use of computer.
