Project Administrator, Engineering and Preconstruction

ROLE
WHC LLC (A Surerus Murphy Company) (WHC), is seeking to recruit a Project Administrator, Engineering & Preconstruction, for our Power Sector . This role serves as the operational backbone for the Engineering & Preconstruction department, ensuring documentation systems, workflows, and administrative processes run efficiently across multiple utility-scale solar projects. The Project Administrator will maintain project information systems, coordinate cross-functional workflows, and provide administrative support that enables engineering teams and leadership to focus on technical delivery and strategic priorities. As a key contributor, the Project Administrator ensures seamless operations from project initiation through closeout by maintaining organized, compliant, and accessible project documentation. The ideal candidate is detail-oriented, system-minded, and driven to support WHC's mission of delivering Power Infrastructure projects with excellence and precision.

KEY RESPONSIBILITIES
System & Workflow Administration
  • Administer and maintain engineering systems including SharePoint, Autodesk Build, Procore, and ERP systems; support with set up of new projects and access matrices.
  • Monitor and expedite document workflows and approval cycles to maintain project schedules; proactively identify and resolve bottlenecks.
  • Prepare documentation packages for internal review and coordinate with Document Controls group for client transmittals.
  • Develop and maintain project tracking spreadsheets, logs, and dashboards to support project monitoring and status reporting.
  • Assist with bid document preparation, subcontract drafting, and contract modifications as needed.
Document Control
  • Set up, maintain, and close out project files for easy retrieval and compliance with policies.
  • Proofread, format, and review project documents for accuracy, completeness, and adherence to standards.
  • Own the document control process, including numbering, revision control, transmittals, and archiving.
  • Support project teams with tracking of RFIs, submittals, change orders, and related documentation.
  • Ensure lifecycle control of documents, including security, accessibility, and retention.
Administrative & Executive Support
  • Screen and distribute incoming deliveries and correspondence to appropriate team members.
  • Prepare presentations, reports, executive briefings, and business correspondence.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support special projects and initiatives as assigned by leadership.
Coordination & Communication
  • Act as a liaison between engineering, procurement, vendors, third-party Engineers of Record, and clients for project-related communications and inquiries.
  • Build strong working relationships with internal teams, suppliers, and stakeholders to provide high-level customer service and resolve challenges efficiently.
  • Proactively identify opportunities to improve processes, workflows, and administrative procedures to increase team efficiency
Reporting & Compliance
  • Maintain document registers, submittal logs, and audit trails for reporting accuracy.
  • Execute all document control processes in compliance with company and project-specific procedures.
  • Ensure quality and compliance at both package and individual deliverable levels.
Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the company.

POSITION REQUIREMENTS
Qualifications
  • High school diploma/GED and/or equivalent experience.
  • Bachelor’s degree in Business, Accounting, Supply Chain, or Engineering preferred.
Experience
  • Minimum 2 years of administrative, project coordination, or document control experience in engineering, construction, or EPC environments.
  • 3+ years of administrative or project support experience in utility-scale solar, renewables, or EPC construction preferred.
  • Experience with document control / CDE systems (SharePoint, cloud-based platforms).
  • Hands-on experience with Autodesk Build/Docs, Procore, or similar construction management platforms preferred.
Skills and Knowledge
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with strong Excel skills for data manipulation and reporting.
  • Excellent written and verbal communication skills with ability to interact professionally with clients, executives, and team members.
  • Strong organizational skills with proven ability to navigate competing priorities and meet deadlines in a fast-paced environment.
  • Demonstrated attention to detail and commitment to quality and accuracy.
  • Ability to work independently with minimal supervision while also collaborating effectively in team settings.
  • Prior experience supporting leadership and project teams in technical environments preferred.
  • Familiarity with industry standards and compliance requirements for engineering documentation preferred.
WORKING CONDITIONS
This position is based in The Woodlands, TX office . Travel to project sites is required (<5%).

REPORTING RELATIONSHIPS
The Project Administrator reports to the Senior Manager, Engineering & Preconstruction.
