Job Title: Early Childhood Administrative Assistant
Job Description
As the Early Childhood Division Assistant at All Saints' Episcopal School, you will provide crucial administrative support to the Early Childhood Division Head and faculty. Your organizational skills, attention to detail, and commitment to creating an efficient and nurturing learning environment will contribute to the success of the Early Childhood division which serves students ages 3-6.
Job Responsibilities
Provide administrative assistance to the Early Childhood Division Head, including managing calendars, scheduling meetings, and handling correspondences.
Prepare and distribute division-related materials, announcements, and resources through school-approved portals.
Serve as point of contact for faculty, students, and parents, addressing inquiries and concerns.
Support Early Childhood Division Head and faculty with various administrative needs.
Generate reports and documentation related to division activities.
Assist in the organization and implementation of programs and events for Early Childhood or related to school-wide events.
Prepare materials and resources for events as needed.
Prepare and distribute division communications, such as newsletters, announcements, and event information.
Ensure effective communication between divisions and other school departments.
Maintain the organization of the Early Childhood office, including ordering supplies and managing resources.
Facilitate with Division Head and faculty on ordering of classroom materials and division supplies through approved vendors.
Support the Early Childhood Division Head and faculty with day-to-day tasks and projects such as answering and screening phone calls, collecting packages from mail room, and record keeping of divisional ordering and expenses.
Welcome and direct visitors, parents, and students.
Maintain filing systems to support divisional needs.
Retrieve information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions.
Coordinate and schedule meetings, and work-related appointments for Division Head.
Coordinates registrations, travel and accommodations (as needed) for workshops and professional development for division.
Maintains office supplies, division supplies and coordinates maintenance requests.
Maintain a system for recording purchases with accurate and timely record keeping.
Supervise faculty preschool students between 7:45 – 8:00 a.m.
Assist with morning and afternoon carpool.
Supervises early childhood lunch pending daily divisional schedule.
Support faculty for substitute teachers and maintains appropriate paperwork with division approval of absences and substitute compensation.
Performs other related duties as assigned.
Qualifications:
Associate's or bachelor's degree in Education or a related field is preferred.
Previous experience in administrative support, preferably in an educational or Early Childhood school setting.
Familiarity with student information systems and school administrative processes is advantageous.
Strong organizational skills, with the ability to manage multiple tasks and deadlines.
Attention to detail and a commitment to maintaining accurate records.
Excellent written and verbal communication skills.
Proficiency in drafting professional correspondence and documents.
Proficiency in using technology and office software, including word processing, spreadsheets, and email.
Familiarity with student information systems and scheduling software
Ability to work collaboratively with the Early Childhood Division Head, faculty, students, and other school staff.
Willingness to support the overall goals of the Early Childhood division.
A genuine interest in supporting students and creating a positive educational environment.
Empathy, patience, and a caring attitude when interacting with students and parents.
