LEAVE ADMINISTRATION REPRESENTATIVE

Number of Vacancies 1 Location Edinburg, Texas Department Human Resources and Talent Development FTE 1 FLSA Exempt Scope of Job To administer all types of paid and unpaid leave program for faculty and staff in accordance with university policies and procedures and applicable state and federal laws. To conduct and submit all criminal background check inquiries and evaluate if results are in compliance with institutional policies and procedures. Description of Duties - Serves as main resource to employees, management and university leaders in all areas of leave management.
- Responsible for properly processing and monitoring all types of leave administration requests and ensures requests are in compliance with all applicable rules and regulations.
- Ensures leave administration process are compliant to applicable state, coordinating board, UT System and federal requirements.
- Counsels and assists employees and department administrators regarding the policies and procedures of Family Medical Leave (FMLA), Sick Leave Pool (SLP), disability insurance which includes Short Term Disability (STD) and Long-Term Disability (LTD), Military Leave and other miscellaneous leave programs.
- Coordinates Family and Medical Leave Act, state Sick Leave Pool (SLP), State Parental Leave, Military Leave (MLT) and Short and Long-Term Disability insurance benefits by interpreting and applying statutes and policies, reviewing applications, completing required documentation, and preparing all relevant correspondence.
- Coordinates with the Payroll Department, as needed, to ensure employees receive the correct compensation while out on leave.
- Evaluates all medical supporting documentation for completeness and final approval of SLP.
- Receives medical documentation completed by the employee's treating physician. Contacts supervisors to clarify missing, incomplete or confusing information presented as part of the request form or medical documentation.
- Proactively works with supervisor/manager of employees on leave and verifies their return to work.
- Reviews all assigned requests for FMLA, Parental Leave and CSL along with the associated medical documentation to determine if the employee's service and the specific illness combine to make the employee eligible for Family Medical Leave. Provide written response to the supervisor and the employee that approves or denies the employee's request.
- Administers special CBC procedures for grant compliance, such as finger printing, extended work, education, and/or medical certification checks.
- Coordinates any other type of leave benefits as needed.
- Provides training for small to medium size groups of supervisors and managers on the subject of Family and Medical Leave, as necessary.
- Acts as point person for all background check inquiries.
- Responsible for managing and maintaining highly sensitive personal identifying information and ensuring that only appropriate personnel have access to background data.
- Submits reports to upper management as requested for assigned areas.
- Performs any system maintenance, validation and testing tasks associated with the applicable ERP system module.
- Coordinates directly with vendor to troubleshoot issues with Criminal Background Check application and manages requests for changes in programming and security.
- Reviews applicable policies ensures compliance and makes recommendations on applying necessary changes that apply to assigned area.
- Reviews Criminal Background Check billing validation and account as needed.
- Develops training materials and provides training as needed for Absence Management and Criminal Background Check procedures.
- Performs other duties as assigned.
Supervision Received General supervision from assigned supervisor. Supervision Given Direct supervision of assigned staff. Required Education Bachelor's degree from an accredited university, experience can be substituted for education on a one-to-one basis. Preferred Education Bachelor's degree in Human Resource Management, Business Administration, Criminal Justice or related field from an accredited university. Licenses/Certifications None. Required Experience - Two (2) years of experience related to the duties performed, or
- One (1) year of specific experience obtained within Higher Education Human Resources.
Preferred Experience Experience in leave management in a higher education setting. Equipment Use of standard office equipment.
