Description

• This position requires a combination of duties. Some are performed daily; others are as needed. Complete and maintain accounting records. Assist Manager with sales efforts and customer retention. Assist in managing all inventory as needed. Position reports to Nu-Concepts facility in Lancaster. Prepare all invoices, quotes, purchase orders timely. Customer Service is about helping people. Do everything you can to help the customer. Gather information from customers efficiently and accurately. Our goal in customer service is not to sell every person who calls but rather to educate them on our products and service and to answer and assist them with their questions. We want every caller to hang up from speaking with you to say “They are sure pleasant and helpful at Nu-Concepts”

Requirements

The duties and responsibilities include, but are not limited to the following:

Accounting Examples

• Prepare invoices and purchase orders using QuickBooks/Navision
• Scan invoices, checks and deposits to Manager weekly and generate reports as requested
• Assist customers or vendors with questions

Customer Service and Sales Examples:

• Respond to customer inquiries in a timely manner providing personalized correspondence and follow-up with them in a timely manner
• Work directly with customers to prepare quotes, process orders and any follow-up
• When needed make arrangements for booth, flights and equipment taking to a trade show and attend trade shows to market products and assist team with set-up and take down of booth
• Assist the Facility Manager with sales/marketing efforts as requested with Constant Contact, Pumper and PRO ads as examples
• Assist the Facility Manager to ensure the company’s safety program is followed at all times
• Maintain date files to email letters, promotions and thank you cards
• Assist with creating new marketing ideas, mailing/emailing marketing material, generating reports, brochures
• Other duties as assigned

Production Examples:

• Assist with cycle counts of inventory when needed
• Assist with coordination of shipping quotes and all trucking arrangements
• Assist in placing orders for needed materials

Accountability:

Ensure efficient, accurate and timely processing of paperwork. Exercise independent, sound judgment in balancing customer’s needs and Nu-Concepts ability to complete projects within requested timeframes.

Experience: Office experience required, including data entry, accounts receivable billing, accounts payable processing, and

generating reports. Full Charge Bookkeeping, accounting or banking experience preferred.

Education and/or Training: Computer experience required. QUICKBOOKS, OUTLOOK, WORD, EXCEL and NAVISION

experience required.

Knowledge: Knowledge of basic math (multiplication, division, adding subtracting) and office procedures required. Must be

analytical, detail-oriented and with the ability to perform a variety of tasks simultaneously.

Skills/Abilities: Ability to communicate effectively both verbally and in written form. Must have strong organizational skills and the ability to operate various computer programs. Must speak, read and write English. Bi-Lingual (Spanish) is a plus.
