Customer Service and Logistics Specialist
Our Customer Service and Logistics Coordinator (“CSS Reps”) provide a key link between our valued customers and the third-party sales representatives who sell our products. They facilitate the process which begins with a customer order and concludes with the payment and shipment of building materials.
Job Duties
· Handle incoming calls, emails and other inquiries from customers and third-party sales representatives regarding, potential sales.
· Ensure the timely and accurate data entry of orders from customers
· Collect name, location and contact information from customers in connection with potential sales inquiries to the Sales Operations Manager
· Assist customers and third-party sales representatives with tracking of orders, payments, shipments and deliveries
· Maintain a cheerful attitude while answering all inbound calls and addressing customer or sales rep needs
· Communicate effectively with Production and Operation teams to resolve any issues with orders & deliveries.
· Answer all customer and sales rep email inquiries promptly to maintain customer and sales rep confidence and satisfaction
· Direct inquiries regarding installed systems to the appropriate technical support team member
· Communicate with customers and third-party sales representative when orders are complete and facilitate payment with both customers and the Company Finance team.
· Work independently in a collaborative environment, meet deadlines, and multi-task while maintaining quality standards
· Communicate effectively with Customer Service, Production, Operation and Sales teams to resolve any issues with orders & deliveries.
· Work in an office and production warehouse environment, creating labels or documents and applying to outbound shipments.
· Various data entry duties including but not limited to LTL invoicing, status changes, filing, shipped order tracking both computerized and hard copy files.
· Perform other duties as required or assigned.
· Collaborate with the Logistics team when the customer payment process is complete, and the product is cleared for shipments.
· Schedule & manage day-to-day shipments through multiple LTL portals and KPM spreadsheets.
Job Qualifications
· Three years of Customer Service experience in a quality related field
· Preferred 1 yeas experience in a Logistics role
· Must be able to prioritize and handle multiple tasks to meet deadlines
· Strong communication and public speaking
· Proficient in Microsoft Office programs
· Proven customer and sales support experience
· Strong phone contact handling skills and active listening
· Familiar with ERP/CRM systems and practices
· Customer orientation and ability to adapt/respond to different types of characters
· Excellent communication and presentation skills
· Ability to multitask, prioritize and manage time effectively
· High school diploma or equivalent; college degree preferred
