Job Summary
Overview
The Manager-Facilities Administration oversees, administers, manages, and facilitates general operations, planning, set up, budgeting, cubical assignment, office layout, and other activities for the City Facilities.
Essential Functions
- Manages and supervises facility set up, organization, and maintenance; plans, directs and coordinates office and space organization, cubical assignment, and general layout; evaluates work order status, reviews work methods and procedures, and coordinates activities.
- Develops and maintains cooperative working relationships and leads in the facilities activates supporting the City and its departments.; develops leadership in others through coaching, mentoring, rewarding, and guiding employees.
- Carries out supervisory responsibility in accordance with City policies, procedures and applicable; manages all interviewing, hiring and training, and planning, assigning, and directing work; provides performance feedback, disciplinary actions, and recommends promotions.
- Oversees construction of new facilities, building renovation, and ensures that new furniture and equipment is installed at all new facilities; tracks, compiles, organizes, and delegates work orders ensuring successful completion according to specifications.
- Manages the Capital Improvement projects for the City facilities; and facilitates/ensures completion and submission of all CIP documents are completed and submitted to the Budget Office on time.
- Participates in the development and implementation of annual work plans, department goals, and annual budget; executes approval for budgets and exercises control over the expenditure of funds.
- Facilitates departmental organization, policies, procedures, and overall work priorities to accomplish department goals and objectives; monitors and maintains records of facility maintenance, repair, and renovations.
- Communicates progress and status of work; provides informational presentations to City council, department heads, and other groups as necessary.
- Performs any and all other work as needed or assigned.
Knowledge and Skills
- Knowledge of supervisory and managerial techniques and principles.
- Knowledge of fundamental inventory control procedures and warehouse procedures.
- Knowledge of equipment, vehicles, materials, and methods used in Building and Grounds services.
- Knowledge of local ordinances and building codes.
- Knowledge of proper safety practices and procedures and regulations applicable to work being performed.
- Ability to perform project management and oversight.
- Ability to organize work, set priorities, meet deadlines, and follow up on issues.
- Ability to direct and oversee staff performing various different tasks on projects.
- Ability to monitor and implement budget and contract specifications.
- Ability to plan, assign, and direct staff.
- Ability to monitor safety and security.
- Communicating effectively both verbally and in writing.
- Establishing and maintaining effective working relationships.
MINIMUM QUALIFICATIONS
EDUCATION
Bachelor's degree in Business, Construction Management, Engineering, or Architectural field.
EXPERIENCE
Five (5) years of experience in budget development/management/administration.
AND
Three (3) years project management/supervisory responsibilities (This experience may be included in the required experience listed above.)
EQUIVALENCIES
High school or GED plus nine (9) years of the required experience including three (3) years project management/supervisory responsibilities will meet the education and experience requirements.
Associate degree in any field plus seven (7) years of the required experience including three (3) years project management/supervisory responsibilities will meet the education and experience requirements.
Bachelor's degree (or higher) in a non-specified field plus seven (7) years or the required experience including three (3) years project management/supervisory responsibilities will meet the education and experience requirements.
Master's degree (or higher) in a specified field plus three (3) years of the required experience including three (3) years project management/supervisory responsibilities will meet the education and experience requirements.
LICENSE
Valid driver's license with good driving record.
OTHER REQUIREMENT
Availability to work nights, weekends, and holidays.
Salary Range
$85,176.00 - $106,475.20
The salary listed on this job posting is the starting salary range; amount offered will depend upon qualifications.
