This role is responsible for new patient intake activities and delivering exceptional customer service. The position involves managing and coordinating healthcare services among patients, family members, care providers, and other healthcare institutions. Key duties include scheduling new patient appointments and providing support, education, and guidance to both patients and providers. All tasks are performed following standard procedures and pre-established guidelines.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Provides strong customer service to patients and internal and external stakeholders as the clinic’s first point of contact.
  • Answers phone calls, takes messages and responds to routine patient, physician, and client inquiries and complaints in a timely and effective manner
  • Obtains patient demographic, insurance, referral, and other pre-visit required information.
  • Document patients and other customer interactions and record detail of inquiries, comments, and complaints in designated systems to ensure all parties have accurate information.
  • Meet or exceed established service level metrics for quality and productivity.
  • Provides patients with appointment details such as time, location, directions, and instructions to patients.
  • Distributes appropriate medical forms to the patient for completion prior to initial visit.
  • Works in conjunction with the patient intake teams to accommodate new patient requests.
  • Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.

MINIMUM QUALIFICATIONS

To be considered for this position, candidates must meet the following minimum qualifications, which ensure the necessary skills, education, and experience to perform the job effectively

  • High School diploma or equivalent required.
  • Experience with Microsoft Office Products (Outlook, Word, Teams, and Excel) required.
  • Must successfully complete required onboarding courses and on-demand training within 45 days of occupying position.
  • Proficiency in a call center or customer service setting, with knowledge of customer service principles and practices and call center telephony and technology.
  • Excellent listening, interpersonal, and communication (verbal and written) skills, and professional, pleasant, and respectful telephone etiquette.

PREFERRED QUALIFICATIONS:

Ideal candidates will possess:

  • Two (2) years call center-related and/or patient access experience in healthcare preferred with progressive responsibility or equivalent combination of education and work experience.
  • Proficiency with medical terminology.
  • Experience with Electronic Medical Record (EMR), referral management, and practice management systems.
