Fleet Inventory Specialist

Service Specialist (Full- time)

Job Summary:

The Service Specialist reports to the Fleet Manager and performs a series of clerical duties such as data entry, filing, reporting, tracking / monitoring inspection due dates, and fuel inventory. Supplies necessary materials to the maintenance personnel ensuring that mechanics always have the necessary parts and supplies available.

Essential Functions:

Clerical:

• Approval of Invoices with delivery slips and or receipts as backup documentation.
• Data Entry, filing, scanning and printing.
• Receiving calls and emails to create work orders for mechanics.
• Assign work orders with Fleet manager assistance.
• Reporting, tracking / monitoring, and recording parts.
• Printing reports for the underground fuel system.
• Interacting with vendors.
• Tracking/ monitoring inspection due dates along with distributing the registration stickers.
• Perform other related and non-related duties as assigned.

Parts Room:

• Clean, label and organize parts room.
• Order, receive, and issue parts as identified and required by mechanics.
• Assist in counting of physical parts room and shop supplies.
• Drive locally to pick up parts or materials (as needed).
• Clean and organize the shared maintenance shop areas (as needed).
• Perform other related and non-related duties as assigned.

Minimum Qualifications:

• Previous experience with material ordering and inventory control.
• Parts room experience a plus.
• Highly organized, self-motivated.
• Ability to problem solve without direct supervision.
• Computer literacy.
• Possess and maintain a valid Texas Driver’s License.
• Must pass a Motor Vehicle Record check with minimal infractions (2 in the past 3 years).
• Must be able to drive locally and work overtime as needed.
• Willing and able to pass a physical examination, drug, and alcohol screenings.

Working Conditions and Physical Demands:

• This position works in a mechanic shop setting, with some outdoor exposure during the workday.
• Work includes heavy lifting (typically up to 50-100 lbs.)
• Exposure to prolonged periods of standing, kneeling, stooping, reaching, crawling, and climbing.
