JOB OVERVIEW
WIG is seeking a motivated and skilled individual to fill the role of Procurement and Vendor Management Coordinator. As part of the Administration team, you will be responsible for focusing on the efficient and accurate management of purchasing processes, from requisition to payment.
ROLE AND RESONSIBILITIES
You will be responsible for managing and overseeing the procurement process of goods and services essential for business operations. You will create and manage purchase orders, coordinate with vendors, reconcile invoices, and work closely with other departments at WIG.
Key responsibilities include:
- Create, track and follow-up on requisitions and purchase orders in coordination with the Project Team. Analyze for completeness and accuracy, and lead resolution
- Assist Project Team in reviewing engineering BOM for consistency
- Liaise with suppliers regarding order status, lead times, and delivery schedules. Coordinate with suppliers to ensure on-time delivery
- Coordinate with Project Team, vendors, and field teams for material delivery to site. Spearhead issue resolution (e.g. short shipments, shipment turned away )
- Assist in resolving issues with product quality and shipment discrepancies. Manage expedited shipments
- Track Return Material Authorizations
- Manage project to project material loans
- Assist Project Team with invoice receipt, payment authorization, and discrepancy resolution
- Maintain vendor database and lead onboarding of new vendors as directed by Project and Engineering Team
- Work with Engineering Team to build an approved parts list, source for parts, and unit costs
- Maintain accurate records of purchases, suppliers, and related documentation. Prepare reports on purchasing activities.
SKILLS AND QUALIFICATIONS
- Bachelor's Degree or 4-5 years of experience in purchasing or administrative support
- Strong attention to detail, organizational skills and commitment to data accuracy
- Proficient in Microsoft Office (special emphasis on MS Excel) and web-based data entry
- Ability to prioritize and manage multiple tasks in a fast-paced environment
- Team player with a proactive mindset and genuine passion building a new business

COMPENSATION
Targeted compensation is $55,000 to $65,000.
Job Type: Full-time
