Development and Marketing Administrative Assistant
:
The Development & Marketing Administrative Assistant is responsible for assisting the Director of Development & Marketing in daily operations, helping to maintain efficiency and effectiveness of the department.
Performance Requirements
Specifically Responsible To:
· Schedule and coordinate meetings, appointments, and presentations
· Assist in the preparation of proposals, reports, and budgets
· Manage the department budget and networking partnership requirements
· Assist in maintaining accurate records of constituents
· Assist in constituent gratitude, preparing gifts, acknowledgements and thank you letters
· Distribute marketing materials, such as brochures and flyers
· Conduct research on potential grants, foundations, and matching programs
· Work with the contract grant writer on grant application and reporting deadlines
· Assist with preparation of direct mail solicitations and event mailings
· Manage and coordinate projects with contracted marketing professionals
· Other duties as assigned
Typical Physical Demands
Position requires prolonged periods of sitting and extensive computer use, including typing and viewing a monitor for up to 8 hours per day. The role involves occasional standing, walking, and bending to perform tasks such as filing, retrieving documents, or organizing office supplies. The employee must be able to lift and carry items weighing up to 20 pounds, such as thank-you gifts, office materials, or packages, and deliver them within the office or to nearby locations. Fine motor skills and hand-eye coordination are necessary for operating office equipment like computers, printers, and phones. The work environment is
primarily an office setting with moderate noise levels. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Qualifications
The Development & Marketing Administrative Assistant must have a high school diploma, GED, or at least two years administration experience in an office setting. He/she must be proficient in Microsoft Office Suite, including Word, Excel, and Outlook. Experience in working with a CRM/constituent database (Ex: Bloomerang, Salesforce) is preferred but not required. He/she must have a valid driver's license with a good driving record.

The Development & Marketing Administrative Assistant will deal directly with confidential material. It will be his/her responsibility to maintain the confidentiality of such material in the strictest manner. Any violations of the confidentiality of records or information can result in immediate dismissal for cause.
