We are seeking a reliable, highly organized and detail-oriented executive Assistant going to be responsible for Office and HR management, Bookkeeping and backup of CSR functions. The position is responsible for various day-to-day accounting and bookkeeping tasks, AR management, bank reconciliation, AP management and collections. Experience in QuickBooks is preferred along with a sense of urgency to help keep accounting up to date, get bills out promptly, and ensure tasks assigned are completed promptly. . Keep office organized and manage office supplies. Function as an executive assistant to the CEO. Role offers opportunity to grow with experience.
Key Responsibilities: Office and HR Management: Oversee daily administrative operations to ensure a smooth and efficient office environment.Manage office supplies, office equipment, and vendor relationships.
Maintain digital and paper filing systems, records, and documentation.
Support HR functions including onboarding paperwork, Benefits paper work, timesheets, and employee coordination.
Billing and Invoicing:
- Process daily accounting transactions, including accounts payable and accounts receivable
- Reconcile bank accounts and credit card statements on a daily basis
- Assist with payroll processing and ensure compliance with applicable tax laws
- Maintain organized and accurate financial records
- Perform daily Close of the business
- Manage and track vendor payments, including issuing checks and processing electronic payments
- Respond to internal and external inquiries related to financial transactions
Qualifications:
- Proven experience as a bookkeeper or in a similar role
- Strong knowledge of accounting principles and practices
- Experience with accounting software (QuickBooks preferred)
- Proficient in Microsoft Excel and other office software
- Excellent attention to detail and accuracy
- Strong written and verbal communication.
- Ability to maintain confidentiality and handle sensitive financial information
- Strong communication and interpersonal skills
- Ability to adapt in a fast-paced, deadline-driven environment.
- Team-oriented with a proactive and problem-solving mindset.
- Excellent organizational, multitasking, and time management skills.
- High school diploma or equivalent; an associate’s degree in accounting or related field preferred
Preferred Skills:
Working knowledge of workflow software (e.g., PrintSmith, EFI, or similar).
Basic understanding of production processes and materials used in printing/sign making.
Good at team building and maintaining healthy professional relationship. Working Hours:
This is a full-time position, approximately 40 hours per week. Work from home not an option.
Compensation:
Competitive hourly rate based on experience.
