PRIMARY PURPOSE: Provide secretarial support services for the Superintendent of Schools and to facilitate the efficient operation of the Superintendent's Office coordinated with the Executive Assistant to the Superintendent and Board of Trustees.Handle confidential information and frequent contact with all levels of district employees, outside agencies, and the public.
QUALIFICATIONS: Education/Certification:
High school diploma or GED equivalency
Special Knowledge/Skills:
- Knowledge of school district organization, operations, and administrative policies
- Ability to read and comprehend instructions, short correspondence, and memos
- Ability to make independent decisions regarding planning, organizing, and scheduling
- Excellent public relations, organization, communication, and interpersonal skills
- Ability to use software to develop spreadsheets, perform data analysis, and do word processing
- Ability to multi-task numerous complex administrative activities
- Occasionally assist in the development of PowerPoint presentations
Experience:
Three years or more of advanced secretarial experience with extensive contact with people Prior experience in executive office of public school district or another entity
MAJOR RESPONSIBILITIES AND DUTIES:
- Performs executive administrative assistance for the Superintendent's office. Specific skills set include organization, office systems management, document creation; reproduction of materials; distribution of incoming mail; ordering supplies; maintenance of general correspondence files and district history files for the Superintendent's Office.
- Maintain day to day office operation, understands the needs of others and foster cooperative work relationships (both internally and externally) that promote the success of the department.
- Maintains and manages the Superintendent's calendar to meet the needs and priorities of the district.
- Responsible for the Superintendent's travel arrangements and Superintendent's meeting arrangements, including preparation of documents or necessary technology support.
- Responsible for the Superintendent's Advisory Committees meeting arrangements, as well as any other meeting room arrangements required by the Superintendent's Office.
- Distributes and files all notifications received by Superintendent's Office.
- Enters and verifies absences for Superintendent's Office
- Monitors expense accounts for the Superintendent's Office
- Approval and submissions in TEAL and Region 10.
- Back-up compiler for Board Meeting preparation.
- Assume responsibility for weekly, monthly, and yearly tasks as required for the organization of the office.
- Disseminate mail for the Superintendent by reading, researching and routing correspondence.
- Create, update and maintain data files, checking for accuracy.
- Produce and maintain office files.
- Assist in annual budget preparation by updating spreadsheets to meet department and district deadlines.
- Possess knowledge and maintain all financial/budget documents and work closely with the District's Business/FinanceOffice.
- Approve requisitions, check requisitions, and other financial transactions as required for the operation of the department for multiple accounts.
- Act as liaison between the Superintendent's Office and other MISD departments. Maintain department supply inventory.
Reception and Phones
- Maintain a strong focus on customer service.
- Receive calls for the Superintendent, taking detailed messages concerning the department, emergencies, and other concerns and re-directs those calls as needed.
- Possess overall knowledge of District programs to handle telephone information, public relation questions, and office management concerns.
- Greet visitors and respond to routine inquiries from staff and public; refer appropriate inquiries or problems to superintendent.
Other
- Organize and manage routine work activities of the executive office.
- Maintain technical knowledge by attending workshops in order to provide information-management support in relation todistrict network software as added.
- Works as a collaborative unit of support with the Executive Assistant to the Superintendent and Board of Trustees
- Perform other functions that may be assigned by the superintendent.
- Maintain confidentiality.

- Tools/Equipment Used: Standard office equipment including personal computer, peripherals and other technology tools.
- Posture: Frequent sitting and standing; occasional bending/stooping, pushing/pulling, and twisting
- Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
- Lifting: Occasional light lifting and carrying (less than 15 pounds)
- Environment: May work prolonged or irregular hours
- Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
- Other: Occasional prolonged and irregular hours. Work as a team member and with peers, teachers, campus personnel and principals. Professional demeanor, and resourcefulness, communicate effectively with diverse groups and accept supervision.
EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board Policy on Evaluations.

Pay: $39,091.00 - $54,794.00 per year
