Tenant and Guest Ambassador
MalaceHR is seeking a polished, personable, and highly service-oriented Tenant & Guest Experience Ambassador to support a premier Class-A office property in Uptown Dallas.
This individual will serve as the first point of contact for tenants, executives, employees, and guests and will play a key role in elevating the building's lobby experience from a traditional security/reception environment to a high-end hospitality and concierge-style atmosphere .
The ideal candidate will come from a luxury hotel, high-end retail, private club, premium residential, or corporate hospitality background and will naturally create a warm, welcoming, and personalized experience. This role requires someone who is creative, independent, organized, comfortable with technology, and knowledgeable about the Dallas area.
In addition to daily tenant and guest services, the Ambassador will help develop and execute building events, manage event budgets, oversee amenity spaces, and create experiences that reflect the upscale environment of the property.
Key Responsibilities
Tenant & Guest Experience
- Serve as the primary point of welcome for tenants, employees, executives, and visitors.
- Deliver a warm, polished, and personalized greeting while creating a high-end hospitality experience.
- Escort and guide visitors to elevators, conference areas, amenities, and other building locations as needed.
- Provide directions, recommendations, and general assistance to tenants and guests.
- Notify tenant contacts of guest arrivals and help ensure a smooth visitor experience.
- Provide concierge-style assistance including restaurant reservations, transportation coordination, courier services, gifting, local recommendations, and special requests.
- Maintain strong knowledge of the Dallas and Uptown Dallas area , including restaurants, entertainment, hotels, transportation, cultural attractions, and events.
- Develop and maintain local guides, event calendars, and recommendations for tenants and guests.
- Manage visitor access, badging, and visitor management processes.
- Maintain the lobby, concierge desk, and other guest-facing areas to a polished, white-glove standard.
- Respond to incoming calls, questions, and service requests while ensuring requests are properly routed and resolved.
Tenant Relations & Communication
- Build strong relationships with tenants, office managers, executive assistants, and key building contacts.
- Serve as a reliable resource for tenant questions, building information, access changes, construction updates, and property announcements.
- Communicate professionally and effectively with individuals at all levels, from executives to vendors and visitors.
- Handle concerns or service issues with professionalism, discretion, and a solutions-oriented mindset.
- Coordinate with property management, engineering, janitorial, security, food and beverage operators, and other service providers.
- Maintain communication with property leadership regarding recurring tenant concerns, opportunities, or service improvements.
- Develop relationships with local hotels, restaurants, private clubs, cultural organizations, tourism organizations, and other hospitality partners.
Tenant Events & Programming
- Develop and manage a calendar of tenant events and engagement activities.
- Create experiences such as wellness events, social gatherings, seasonal programs, tenant appreciation events, and other building activations.
- Assist with developing and managing event budgets .
- Coordinate vendors, catering, entertainment, décor, and other event-related services.
- Manage event logistics from initial planning through execution.
- Track participation and tenant feedback to determine which programs and events are most successful.
- Generate new and creative ideas to enhance tenant engagement and the overall building experience.
- Work independently to execute events while coordinating with the property management team when necessary.
Amenity & Building Support
- Help oversee tenant amenity areas including lounges, conference rooms, fitness facilities, and hospitality spaces.
- Coordinate conference room setup, catering, audiovisual needs, vendor support, and room turnover.
- Ensure amenity areas remain clean, organized, professional, and welcoming.
- Identify opportunities to improve the tenant experience as building amenities and common areas evolve.
- Assist tenants during building renovations, construction activities, access changes, or other disruptions.
- Provide clear and proactive communication when building activities may impact the tenant experience.
- Participate in building operations meetings and support property initiatives and programs.
Qualifications
- 3–5 years of experience in hospitality, guest services, customer experience, high-end retail, luxury hotels, private clubs, premium residential properties, corporate hospitality, or a similar service-focused environment.
- Luxury hotel, upscale retail, concierge, or high-touch hospitality experience is strongly preferred.
- Prior supervisory, leadership, or program ownership experience is preferred.
- Bachelor's degree is not required for candidates with strong, relevant experience.
- Strong knowledge of the Dallas area and local restaurants, attractions, entertainment, and services.
- Excellent written and verbal communication skills.
- Professional, polished, warm, and approachable demeanor.
- Strong organizational and multitasking abilities.
- Ability to work independently and take ownership of the tenant experience.
- Strong problem-solving skills and the ability to remain composed in a fast-paced environment.
- Comfortable interacting with executives, clients, tenants, vendors, and visitors.
- Must be comfortable creating and managing event budgets.
- Ability to support occasional early morning, evening, or event-related schedule changes.
Technology Skills
Candidates should be comfortable learning and utilizing workplace technology, including:
- Microsoft Office and Outlook
- Visitor management and badging systems
- Work-order or service-request platforms
- CRM or tenant experience systems
- Event planning and communication tools
Experience with tenant-experience platforms such as PRISM, Modo, or HqO is a plus but not required.
