Administrative Project Coordinator I Location Hybrid remote in Richardson, TX : Job Summary Provides administrative and project support to Residential Camps & Conference Services (RCCS) with a high volume of internal and external clients. Minimum Education and Experience

Bachelor's degree in a related discipline and three years of administrative experience, experience related to the project area or any equivalent combination of education and experience. Preferred Education and Experience Previous work experience in higher education student housing or summer conferencing on a university campus is preferred. Essential Duties and Responsibilities Administrative Operations: Assist with application and contract processing of summer guests of UT Dallas Housing. Work with Housing's Business Services office in the maintenance, reconciliation, and coordination of a large complex fiscal budget and account; prepare invoices, pay vendors, oversee credit card transactions, maintain revenue tracking spreadsheet, and prepare deposits. Guest Management: Assist with recruitment, agreements, reservations, services, placement, invoicing, and receipt of payments; communicates with clients throughout the process; prepare and process guarantees, provides excellent customer service to students, clients and guests in the office as well as during events and programs on campus; refers RCCS guests to appropriate services outside of Housing based on the needs of the guests. Technology: Utilizes housing software (Star Rez) for guest management, including applications, reservations, placement, guest communication and payments. Also work with the University's information management system, Peoplesoft. Utilizes Microsoft Office suite with an emphasis on Microsoft Excel for records and reporting. Fiscal: Maintain, monitor, and coordinate operations of large complex fiscal budget and account; prepare invoices, pay vendors, oversee transactions, and maintain revenue tracking documents, prepare deposits. Works with administrative staff to support fiscal and administrative compliance for budget reconciliations, new hire paperwork, departmental purchases, and student worker payroll requirements. Work with campus partners: Maintain dining and catering reservations, make and confirm room reservations outside of Res Halls for clients, communicate needs to the University's Parking Office and University Recreation, maintain tracking spreadsheets for multi-departmental coordination, compile data and develop reports to highlight application trends, availability of placement, and status of registration to be used in troubleshooting and forecasting, attend and provide data in weekly meetings with campus dining during the summer. General Administration: Answer questions, respond to inquiries to the department's email inbox, schedule meetings, and maintain records. Physical Activities Working Conditions Additional Information After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
