Job Summary

We are seeking an experienced Administrative Assistant II for a contract/temporary opportunity in Houston, TX within the chemicals and petro-chemicals industry. This role is ideal for a highly organized administrative professional who enjoys supporting leaders, managing complex schedules, coordinating travel, and keeping business operations running smoothly.

The Administrative Assistant II will provide proactive, confidential, and detail-oriented support to one or more leaders in a professional corporate environment. This opportunity offers exposure to a collaborative team, supportive leadership, and a structured 9/80 schedule that may provide a strong work-life balance. The right candidate will be trusted to anticipate needs, solve scheduling challenges, communicate professionally, and contribute to an efficient and well-coordinated office environment.

Key Responsibilities

- Provide proactive administrative support to one or more leaders with a high level of independence, discretion, accuracy, and attention to detail.
- Manage calendars and inboxes, prioritize requests, anticipate needs, and resolve scheduling conflicts across multiple stakeholders and time zones.
- Coordinate in-person and virtual meetings, including agendas, materials, logistics, room setup, technology support, and follow-up action items.
- Arrange complex domestic and international travel, including itineraries, travel communications, and visa or passport coordination as needed.
- Track, reconcile, and submit travel and business expenses accurately and in accordance with company policy.
- Prepare, format, proofread, and manage correspondence, reports, presentations, SharePoint content, distribution lists, seating charts, and related administrative materials.

Compensation and Benefits

- Pay range: $23 to $27 per hour.
- Job type: Contract/Temporary.
- Schedule: 9/80 schedule.

Required Qualifications and Skills

- Manage executive calendars, inboxes, meetings, travel, expenses, and administrative workflows.
- Support internal communications, distribution lists, SharePoint updates, seating charts, and team coordination tasks.
- Prepare professional documents, reports, presentations, and correspondence using Microsoft Office and enterprise systems.
- Support small projects, gather basic data, track action items, and identify process improvement opportunities.

- 3 to 5 years of administrative support experience in a corporate or professional office environment.
- Strong Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Experience scheduling meetings, managing calendars, coordinating travel, and processing expense reports.
- Ability to handle highly sensitive and confidential information with professionalism and discretion.
- Strong organizational skills with the ability to prioritize competing requests and meet deadlines.
- Excellent written and verbal communication skills with a polished customer service mindset.
- High attention to detail, accuracy, follow-through, and sound judgment.
- Ability to work independently while collaborating effectively with leaders, team members, and internal stakeholders.
- Comfortable using digital productivity tools and enterprise systems to improve administrative efficiency.

Preferred Qualifications

- Experience supporting multiple leaders or complex organizations.
- Familiarity with Workday, CTREX, iPASS, SharePoint, or similar enterprise systems.
- Experience coordinating corporate travel and expense reporting.
- Background supporting leaders or teams in the chemicals, petro-chemicals, energy, manufacturing, or related corporate environments.
- Collaborative working style with the ability to build positive relationships across departments and functions.
