Role & Responsibilities
Heil Law Firm is seeking a highly organized, compassionate, and detail-oriented Case Manager Assistant to support our Personal Injury Case Management Team. This position plays a critical role in ensuring clients receive exceptional service while assisting case managers with the day-to-day administration of personal injury cases. The ideal candidate thrives in a fast-paced environment, possesses strong communication skills, and is committed to helping clients navigate the legal process during challenging times.
Heil Law Firm focuses on representing individuals injured in motor vehicle accidents, trucking collisions, and other personal injury matters throughout Texas.
Key Responsibilities:
- Assist Case Managers with the daily management of personal injury cases.
- Maintain regular communication with clients regarding treatment status, appointments, and case updates.
- Request, organize, and review medical records and billing statements.
- Communicate with healthcare providers, insurance companies, and other third parties.
- Monitor case progress and ensure deadlines are met.
- Update case information accurately in the firm's case management system.
- Prepare correspondence, forms, and client documentation.
- Schedule appointments, consultations, and meetings.
- Track outstanding records and follow up as needed.
- Assist with settlement preparation and case closing procedures.
- Provide exceptional customer service to clients while maintaining confidentiality and professionalism.
- Support attorneys and case managers with administrative and clerical tasks as assigned.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous experience in a law firm, medical office, insurance environment, or customer service role preferred.
- Personal injury law experience is a plus but not required.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel).
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Strong attention to detail and accuracy.
- Professional demeanor and client-focused mindset.
