Logistics Dispatcher
Basic Duties and Responsibilities
- Print orders and Bills of Lading.
- Obtain and distribute diagrams on ships.
- Obtain surveyor questionnaire for testing requirements.
- Ensure all required information and documentation has been received for all movement types prior to scheduling (i.e., ethanol, imports, exports, vapor recovery, barge certification of inspections, etc.).
- Obtain and enter ETAs from barge companies and ship agents.
- Calculate shore stops.
- Schedule marine movements per dock, product availability and customer's specifications including the notification of third-party inspectors as nominated by the customer.
- Coordinate and schedule pipeline and tank-to-tank transfer movements.
- Work closely with the Security department and the US Coast Guard to ensure safe marine loading and offloading.
- Interact with customers as needed to ensure product movements are scheduled accurately and timely.
- Assemble and distribute order packages, DOI/NCR/MSDS/Vapor Recovery (if needed).
- Work closely with Marine Coordinators to ensure proper product levels for scheduled moves.
- Coordinate all direct moves with Truck and Rail, as needed.
- Special duties as per the customer's requirements as requested.
- Enters all pertinent times for marine movements in JDE dock scheduler to close out the order and distributes completed paperwork.
- After Hours/Weekends/Holidays and as needed by Marine Coordinators and Lead Marine Scheduler:
- Enter customer orders into JD Edwards system including Special Service Requests (SSR) as needed.
- Coordinate monthly marine blanket bulk orders.
- Report to the customer any relevant information relating to delays or issues with their marine moves.
- Process all trucks to load or unload at the terminal including:
- Check truck driver credentials, i.e. driver's license, TWIC card, etc. Also, check for compliance to ITC safety rules, i.e. facial hair, FRC clothing, other required PPE, etc.
- Calculate tank truck loads and record the quantity to load on the paperwork.
- Check all paperwork and pertinent information regarding the quantity and unload instructions for tank truck unloads.
- For all trucks not processed through automation, including the final bill of lading, the correct safety data sheet, scale ticket, etc.
- Separate paperwork and distribute accordingly.
- Enter all scale tickets into the computer.
- Maintain all required supplies (i.e. seals, scale tickets, etc.)
- Acts as central communications center during off-hours and for emergencies.
- During emergencies, call personnel and handle other instructions, as directed by the Safety Department.
- Assist the Land Traffic Department, as directed by the Land Traffic Supervisor.
- Prepare and issue Scale Relief Log.
- Marine Dispatch/Scalehouse shift relief as needed.
Skills & Qualifications
- High school diploma or equivalent.
- Minimum of three years experience within the terminal or petrochemical industry handling hazardous and non hazardous products.
- Experience with J.D. Edwards or other ERP systems, all Microsoft Office software, use of the Internet, and ten-key calculator.
- Good analytical and problem solving skills.
- Good decision making and communication skills.
