WE’RE LOOKING FOR A PROJECT COORDINATOR WHO LOVES GETTING STUFF DONE

POSITION: Project Coordinator
LOCATION: Austin, TX (Hybrid – office / remote / site visits)
TYPE: Full-Time | Monday–Friday, 8am–5pm | Some Flexibility Required

WHAT YOU’LL BE DOING

Pre-Construction + Estimating

· Attend qualification calls and help schedule initial client consultations

· Coordinate vendor quotes and prepare PO data in JobTread

· Assist with takeoffs, bid proposals, and document setup

Procurement

· Create, issue, and track purchase orders

· Confirm material deliveries and resolve supply issues

· Maintain great communication with suppliers and trade partners

Client + Subcontractor Coordination

· Track selections and change orders in JobTread

· Update CRM and reporting tools weekly

· Assist with tracking subcontractor confirmations and schedules

· Help prepare plans, documents, and material info for Site Superintendents

During Construction

· Assist the field team with materials tracking and scheduling coordination

· Ensure drawings and documents are current and accessible

· Support communication flow between office and field teams across each project

SUCCESS LOOKS LIKE:

Deliverable: Target

PO/Material Lead Time: 100% materials order >3 weeks out

Subcontractor Vendor Orders: All confirmed 2 weeks prior to mobilization

Client Selections Completion Rate: 100% by project start date

Response Time (client/vendor): Within 24 hours

Client Experience Contribution: Avg. 8/10+ rating from project surveys

Administrative Systems: 100% compliance with SOPs & tracking systems

Change Orders: Logged within 48 hours

SKILLS AND REQUIREMENTS

· Experience coordinating all phases of a construction project from initiation to completion.

· Minimum of five years of experience coordinating projects in the construction industry.

· Experience with construction management software tools and current technology.
