Job Summary
Provides administrative and clerical support to the Administration divisions within the Port Arthur Fire Department. This position assists with routine fire department administrative functions and recordkeeping while performing entry-level tasks associated with the Fire Department.

SUPERVISION RECEIVED AND EXERCISED :
  • Receives general supervision from the Deputy Fire Chief and Fire Chief.
EXAMPLES OF IMPORTANT RESPONSIBILITIES AND DUTIES - Essential and other important duties and responsibilities may include, but are not limited to, the following:

Essential Duties and Responsibilities :

Perform general clerical duties, including answering phones, responding to emails, and greeting visitors.

Maintain files, records, and databases related to Fire Reports

Assist in preparing agendas, minutes, and staff reports for Fire Department staff meetings.

Provide information to the public regarding fire department ordinances, some fire regulations, and the use policies.

Coordinate interdepartmental communications related to fire department projects.

Coordinates development activities between various City departments and process records/payment fire the fire department.

Perform other duties as assigned.

QUALIFICATIONS

Knowledge of :

Office practices, procedures, and record management.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Strong written and verbal communication skills.

Strong organizational skills and attention to detail.

Ability to :

Work independently and as part of a team.

Interpret and apply applicable laws, rules, and regulations as it relates to the Fire Department.

Handle multiple tasks, meet deadlines, and provide excellent customer service.

Prepare and analyze technical and administrative reports, statements, and correspondence.

Establish and maintain effective working relationships with those contacted in the course of work.

Communicate effectively, both orally and in writing.

Maintain effective audio-visual discrimination and perception needed for:
  • making observations
  • reading and writing
  • operating assigned equipment
  • communicating with others.
Maintain mental capacity, which allows the capability of:
  • performing mathematical and statistical computations
  • making sound decisions
  • demonstrating intellectual capabilities.
Maintain physical conditions appropriate to the performance of assigned duties and responsibilities, which may include the following:
  • walking, standing, or sitting for extended periods of time
  • climbing stairs
EXPERIENCE AND TRAINING GUIDELINES
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Training :

High school diploma or equivalent required.

An associate’s degree or coursework in public administration, or a related field is preferred.

Experience:

Two (2) years of administrative or clerical experience, preferably in a municipal government or Fire-related field.

Licensure or Certification :

Must possess or have the ability to obtain a valid Texas driver’s license by the time of hire.
