Pre-Production Support Coordinator

About the Role
You will support the smooth flow of jobs from order receipt through pre-production by handling purchasing coordination, customer communication, scheduling, and basic capacity planning. You’ll work closely with the Chief of Staff, production team, purchasing, and sales to make sure nothing falls through the cracks.

Key Responsibilities:

• Coordinate purchasing activities for materials and components needed for upcoming jobs.
• Handle customer follow-up on orders, timelines, and any pre-production questions.
• Assist with job scheduling and sequencing to optimize workflow.
• Support capacity planning by tracking resources, lead times, and potential bottlenecks.
• Maintain accurate records and documentation in our systems (orders, timelines, status updates).
• Prepare reports and updates for leadership on pre-production status.
• Communicate effectively across departments to resolve issues quickly and keep projects moving.
• Help track and monitor timelines, deliverables, and follow-ups.
• Perform other coordination and administrative tasks as needed to support efficient pre-production operations.

What We’re Looking For:

• 1–3 years of experience in manufacturing, operations, purchasing, scheduling, or a similar coordination role (entry-level candidates with strong organizational skills and manufacturing interest will be considered).
• Excellent attention to detail and ability to manage multiple tasks simultaneously.
• Strong communication skills — both written and verbal — with customers, vendors, and internal teams.
• Proficiency with Microsoft Office (especially Excel) and comfort learning ERP or scheduling systems.
• Basic understanding of manufacturing processes, lead times, and capacity concepts is a plus.
• Proactive, reliable, and solutions-oriented mindset.
• High school diploma or equivalent required; associate or bachelor’s degree in business, supply chain, or related field is a plus.
