Job Summary
We are seeking a detail-oriented and proactive Purchasing Coordinator to join our team. This role is essential in supporting procurement operations, ensuring timely and cost-effective purchasing of materials, supplies, and services. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for optimizing purchasing processes.
Key Responsibilities
- Coordinate and execute purchasing activities in alignment with company policies and budget guidelines.
- Source vendors and negotiate pricing, terms, and delivery schedules.
- Maintain accurate records of purchases, pricing, and inventory.
- Monitor supplier performance and resolve issues related to delivery, quality, or pricing.
- Collaborate with internal departments to forecast demand and ensure supply chain efficiency.
- Prepare purchase orders and ensure proper documentation and approvals.
- Track shipments and follow up on delays or discrepancies.
- Assist in developing and maintaining vendor relationships.
- Must be able to work in any area as needed.
Qualifications
- Associate’s or Bachelor’s degree, Supply Chain, or related field preferred.
- 2+ years of experience in purchasing, procurement, or supply chain coordination.
- Strong negotiation and communication skills.
- Proficiency in Microsoft Office and purchasing software.
- Ability to multitask and prioritize in a fast-paced environment.
- Attention to detail and commitment to accuracy.
Preferred Skills
- Background in hospitality purchasing, including food & beverage, housekeeping supplies, or event-related procurement.
- Familiarity with vendor relations in a food & beverage environments.
- Experience working with hospitality management systems (e.g., BirchStreet, MarketMan, or similar).
- Understanding of seasonal demand planning and inventory control in hospitality settings.
- Ability to manage multiple property purchasing needs or coordinate across departments like front office, kitchen, and facilities.
- Knowledge of hospitality compliance standards, including health and safety regulations related to procurement.
