Stephens Memorial Hospital has an immediate job opening for Administrative Services. Reports to: CEO / Administrator Position Type: Full time Schedule: Monday to Friday 8 am to 5 pm, ability to work some evenings if needed Position Summary: The primary responsibilities of this position are to provide high level administrative support that involves preparing reports and memorandum, scheduling meetings, answering phone calls and managing information requests by the CEO. Additionally, this position is responsible for planning, organizing, and directing the overall operations of the Environmental Services department to ensure a clean, safe working environment in accordance with all applicable laws, regulations, and Hospital standards. This position interacts with all levels of management including Senior Executives and Board of Directors. Essential Duties: - Performs general administrative duties to include answering phones, filing, copying, scanning and faxing.
- Schedules administration meetings and coordinates executive staff calendars.
- Answers general queries from employees, the community in general, and board members.
- Files and retrieves district documents, records and reports
- Prepares, distributes and delivers materials for review before meetings.
- Prepares agendas and makes arrangements for committee, board and other meetings as assigned
- Compile, transcribe, and distribute minutes of meetings
- Responds to credentialing requests regarding privileges and performs NPDB queries.
- Drafts correspondence and proofreads a variety of documents.
- Creates and maintains contract database.
- Maintains privacy and confidentiality of all patient information and Hospital business.
- Ensures compliance with Joint Commission, federal, state and local regulations and standards (OSHA, CDC).
- Supports and carries out the hospital policies.
- Follows the established universal precautions and isolation procedures.
- Encourages an atmosphere of optimism, warmth and interest. Implements AIDET philosophy.
- Promotes the mission, vision and values of Stephens Memorial Hospital District.
- Other duties as assigned
Plants Ops Essential Duties: Administrative Duties - Participates in the development and applications of standards of quality and productivity for the Plant Operations Department.
- Coordinates the repair of equipment.
- Logs requisitioned, corrective, emergency and preventative maintenance of electrical distribution, mechanical, HVAC, power generation, plumbing and medical gas systems, communications and building structures as required.
- Assists in maintaining records to ensure compliance with state, federal and HCFA regulations.
- Other duties as assigned.
Education / Experience required/Preferred: - Bachelor's degree/Preferred.
- Two (2) years administrative experience preferred
- Experience, preferably in a healthcare setting.
