ROLE IMPACT

Join a collaborative corporate team providing essential office and purchasing support. The Purchasing Administrative Assistant works closely with the Purchasing Coordinator to ensure smooth daily operations, accurate order processing, and organized documentation. This position plays a key role in maintaining efficient purchasing workflows—supporting billing, vendor communication, and general administrative tasks that keep the department running effectively.

KEY RESPONSIBILITIES

• Prepare, track, and process purchase orders (POs), invoices, and related purchasing documentation

• Communicate with vendors to request quotes, confirm deliveries, and resolve basic order or billing issues

• Maintain organized records, reports, and budget files in company systems

• Assist with clerical duties such as filing, scheduling, mail distribution, and data entry

• Provide general administrative support to the Purchasing Coordinator and leadership team as needed

MINIMUM QUALIFICATIONS

• High school diploma or GED required

• 1–2 years of administrative, purchasing, or office support experience

• Proficiency in Microsoft Office Suite (Excel, Outlook, Word)

• Strong attention to detail, organization, and follow-through

• Clear communication skills and a cooperative, team-focused attitude

CORE TOOLS & SYSTEMS

• Microsoft Office Suite (Excel, Outlook, Word)

• ERP or purchasing/order entry systems

• Basic billing or accounting software

• Shared drives and document management tools

PREFERRED SKILLS

• Experience supporting a purchasing or accounting department

• Familiarity with vendor communication, invoicing, or budget tracking

• Ability to manage multiple administrative tasks in a fast-paced environment
