Family Services Assistant - Flex (Sunday through Thursday 12pm - 8pm)
Job Description TITLE: Family Services Assistant (Flex)
REPORTS TO : Senior Family Services Manager
CLASSIFICATION: Fulltime, Non-Exempt
WORK HOURS : Sunday-Thursday 12:00-8:00p SUMMARY : The primary responsibility of the Family Services Assistant is to assist the Family Services Manager with the operations of the Ronald McDonald House of Dallas (RMHD) during the designated weekday hours. This position is considered “Flex” to provide for coverage for day and evening shift staff on their days off. The Family Services Assistant is knowledgeable of the mission, goals, and objectives of RMHD.
ESSENTIAL RESPONSIBILITIES AND DUTIES:
Operations Coordination:
- Ensures front desk is staffed to serve families.
- Communicates clearly with families on all RMHD policies and procedures.
- Communicates accurate eligibility criteria to referral sources and families.
- Performs background checks for pending referrals.
- Works with Senior Family Services Manager to ensure an effective transition for coverage.
- Review and accept referrals received in Exceed Beyond.
- Performs daily review of census utilizing Exceed Beyond and coordinates with the team on room availability status.
- Completes the check-in and check-out process for families.
- Handles data entry of current day activity into Exceed Beyond. Reconciles missing data points in Exceed Beyond at shift end.
- Assists kitchen coordinator with meals during breakfast and lunch.
- Completes van shuttle runs.
- Assists with the reconciliation of cash drawer, proper documentation of merchandise sales, and accounting for all receipts.
- Ensure soiled linen closets are checked twice per shift, soiled linens are collected, laundered, and folded before the end of shift.
- Ensure the Family Janitorial Closets on each residential hall are stocked with adequate cleaning supplies for family use.
- Assures that donations of goods and services are documented.
- Works a minimum of 8 hours per month.
- Communicates with the Senior Family Services Manager regarding family issues.
- Ensures security of facility is maintained by making regularly scheduled rounds of the building and monitoring security video system. Ensuring facility safety and security.
- Conducts daily inspections of RMHD and grounds to identify safety, maintenance, housekeeping, and overall appearance issues, and coordinates resolution with Senior Family Services Manager. Completes maintenance request forms as needed.
- Monitors RMHD activity and maintains control of the facility usage by families, volunteers, and all other guests.
- Responds appropriately to emergencies and incidents in accordance with RMHD Emergency Preparedness, Disaster Recovery, and Crisis Communication plans.
- Ensure Inventory Control of Family Services Products and ordering.
- Ensure restocking and readiness of Transplant Apartments.
- Flexible on coverage of hours – maybe asked to change work shift hours.
- Demonstrates an atmosphere of warmth, compassion, and support to always ensure a nurturing atmosphere.
- Creates an atmosphere of hospitality and ensures the well-being and comfort of families.
- Encourages family interaction.
- Oversees family activities during assigned hours.
- Provides support and direction to volunteers in collaboration with the Senior Family Services Manager and Volunteer Manager.
- Works with the Family Activities Manager and Volunteer Manager to coordinate tours for volunteers and groups during the weekend.
- Communicates with Volunteer Manager about any unique situations with a volunteer.
- Encourages volunteer interaction with families.
- Maintains an awareness of Board functions and Board members in general.
- Other duties as directed by Senior Family Services Manager, administrator in-charge, or CEO.
