Executive Administrator, Project Engineering
- Provide dedicated executive support to two SVPs of Project Engineering, managing their calendars, travel, and day-to-day priorities with precision.
- Track contracts, vendor agreements, and project milestones, flagging deadlines before they become problems.
- Coordinate across internal teams, contractors, vendors, and external partners to keep project timelines moving.
- Prepare and organize project documentation, meeting materials, status reports, and correspondence.
- Manage logistics for site visits, construction reviews, leadership meetings, and vendor check-ins.
- Monitor action items and follow up relentlessly to ensure commitments are met on time.
- Serve as a trusted liaison between the SVPs and key internal and external stakeholders.
- Anticipate what's coming next and have it handled before you're asked.
- Exceptionally organized with a sharp eye for deadlines, details, and dependencies.
- Experienced in fast-paced manufacturing, construction, or project-driven environments — you know how quickly things move and how much is at stake when they don't.
- Proactive and resourceful — you solve problems quietly and efficiently without needing hand-holding.
- Confident communicating with senior leaders, contractors, and vendors alike.
- Cool under pressure, especially when timelines shift or priorities compete.
- Discreet, professional, and trustworthy with sensitive business information.
- 3+ years of executive or administrative support experience, preferably supporting senior leadership in a manufacturing, construction, or large-scale project environment.
- Demonstrated experience coordinating vendor relationships, contracts, or project timelines is a strong plus.
- Proficiency with productivity and scheduling tools (Google Workspace, Microsoft Office, etc.).
- Experience with project management tools (e.g., Smartsheet, Procore, Asana, or similar) is a plus.
- Strong written and verbal communication skills.
- Ability to manage competing priorities and stay organized in a high-volume, fast-moving environment.
- High level of professionalism and discretion when handling confidential information.
