QC Administrative Assistant

: Brief Description:

The Quality Control Administrative Assistant provides administrative support to quality control processes for company projects, specifically in mechanical operations. The position is responsible for organizing and maintaining quality control documentation, assisting with quality inspections, and generating reports on quality metrics. In addition, the role requires attention to detail and proficiency with various software tools. This individual will work independently and as part of a team, assisting other departments as needed and supporting the project management team with the final assembly of job turnover books.

Essential Job Functions:

• Organize, maintain, and update quality control documentation to ensure all records are accessible, complete, and compliant with project requirements.
• Assist in the preparation, review, and submission of quality control documentation, ensuring it aligns with company and client specifications.
• Input and manage data from quality control inspections, ensuring accurate record-keeping and reporting.
• Generate and track reports on quality metrics, inspection outcomes, and performance trends.
• Perform general administrative duties such as filing, scanning, and organizing QC-related materials.
• Contribute to the assembly of job turnover books, ensuring QC documentation is compiled accurately for final project turnover.
• Track and follow through with quality control requests from the field to ensure compliance and timely execution.
• Coordinate with project teams, field operations, and quality control departments to ensure all inspections and related activities are accurately documented.
• Assist in ensuring the quality of mechanical operations through detailed review of inspection reports and corrective actions.
• Provide administrative support for quality-related proposals, submittals, and responses to client or contractor queries.
• Ensure compliance with established quality standards and safety protocols in all QC-related documentation and reporting.
• Support the collection of data for audits or reviews, working with project managers and QC staff to provide necessary documentation.
• Maintain accurate records of quality control inspections and track any non-compliance or corrective actions.
• Support the management and use of quality control software or tools for reporting, tracking inspections, and managing compliance.
• Other duties as assigned

Required Minimum Qualifications:

• BA/BS degree in Business Administration, Engineering, or a related field preferred, or equivalent work experience in a quality control or administrative capacity.
• Current and valid driver's license, with clean driving record required depending on location
• Current OSHA 10 and Hydrogen Sulfide (H2S) certificates or be able to obtain upon hire

Knowledge, Skills & Abilities Required:

• Minimum of 2-3 years of experience in quality control administration, construction, or mechanical project management, or a related field is preferred.
• Strong organizational skills and the ability to maintain meticulous documentation.
• Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Pro, and Bluebeam software.
• Ability to handle confidential and sensitive information with discretion.
• Attention to detail and a strong focus on accuracy in data entry, reporting, and documentation.
• Ability to work independently as well as collaboratively as part of a team.
• Strong communication skills, both written and verbal.
• Ability to manage multiple tasks and prioritize effectively.
