Information Governance/Records Clerk

This position coordinates file management activities, including file creation, transfers, retention, destruction, and data access requests, while ensuring compliance with Firm policies and records management standards. The Coordinator also provides support and training to Firm personnel on records management systems and procedures.

Essential Duties and Responsibilities

• Coordinate records management functions, including file intake, transfers, retention, destruction, and data access requests.
• Create, label, track, store, retrieve, and maintain physical and electronic client files.
• Manage off-site file storage and maintain accurate records in the Records Management System (RMS).
• Process paper and electronic file transfers and maintain related documentation.
• Support file closing, retention, and destruction in accordance with Firm policies.
• Respond to attorney and staff inquiries regarding the Records Management System (RMS) and Document Management System (DMS).
• Train employees on records management procedures and systems.
• Perform research, reporting, and troubleshooting within records management applications.
• Assist with special projects and identify opportunities to improve records management processes.
• Ensure compliance with Firm information governance policies and confidentiality standards.

Qualifications

• Associate degree or equivalent work experience.
• Two to three years of information governance or records management experience.
• Experience with Records Management Systems (RMS) and Document Management Systems (DMS); NetDocuments and FileTrail experience preferred.
• Law firm or corporate legal environment experience preferred.
• Strong organizational, communication, customer service, and problem-solving skills.
• Proficiency with Microsoft Office and data entry
