Safety Administrative Coordinator

Position Overview

We are seeking a highly organized and detail-oriented Safety Administrative Coordinator to support a critical safety initiative and administrative operations. This role will play a key part in establishing and organizing safety systems, documentation, and processes, while also assisting with general office and project logistics.

The ideal candidate is tech-savvy, proactive, and comfortable working with sensitive employee information while maintaining strict confidentiality.

Key Responsibilities

  • Assist in setting up and managing a new safety portal, including uploading and maintaining employee data
  • Digitize and upload paper safety certificates and records
  • Create and organize electronic and physical filing systems
  • Support logistics and coordination of a company-wide safety stand-down event
  • Develop schedules, prepare materials, and assist with ordering supplies
  • Proofread and format safety policies and documentation for accuracy and consistency
  • Create and maintain SDS (Safety Data Sheet) binders
  • Assist in building a safety-focused employee intranet
  • Contribute to the development of safety SOPs (Standard Operating Procedures) based on experience
  • Perform general administrative duties including copying, filing, and document management
  • Learn internal systems and develop a user guide to support ongoing usage

Qualifications

  • Strong computer skills, including advanced proficiency in Microsoft Excel
  • Excellent organizational, planning, and time-management skills
  • Ability to quickly learn new systems and work independently to problem-solve
  • Experience handling confidential employee data with professionalism and discretion
  • Strong attention to detail and accuracy in documentation
  • Prior experience supporting safety programs, documentation, or compliance initiatives is a plus

Additional Requirements

  • Must be able to pass a background check
  • Will be required to complete HIPAA training due to access to employee information
