This full-time position of Office Administration Specialist provides general administrative support to the Chief Administrative Officer and other OccMD staff in the areas of:

1. Medical Management

2. Human Resources

3. Accounting

4. Information Technology

5. Regulatory compliance

6. Quality assurance

7. Records Custodian

This position requires attendance on Monday through Friday, in-office in Dallas, Texas, with competitive compensation and a full suite of employee benefits.

Essential Functions:

1. Provides administrative support to the Chief Administrative Officer assisting with projects in the areas noted above. Utilizes data from multiple sources.

2. Manages the medical pre-authorizations program, receives request, forwards to contracted medical provider, returns response to requester. Initial requests are to be sent out within 2 hours of receipt and responses are to be forwarded back to requester by due date/time.

3. Provides administrative support to the nursing staff to include printing and mailing letters, entering claims in the claims system, linking reports to claim, requests and manages medical records, schedules appointments with and forwards pertinent medical records to medical providers in advance of the appointment.

4. Supports the monthly Employee Meeting. Schedules the building training room, sets up the Zoom meeting and sends out the calendar invite to all staff members. Prints and distributes handouts to the staff at the meeting. Assists the Chief Administrative Officer with preparing the agenda and PowerPoint slides.

5. Manage relationships and reports through KnowBe4, OnDefend and Learning Management System.

6. Supports credentialing and accounting for network medical providers.

7. Monitors the status of client contracts being processed. Provides biweekly status report to Chief Administrative Officer.

8. Manages the Safety/Security Program for the office, attending training, provides training and instruction to staff, reports safety concerns to Building Management team and assists with the evacuation of staff during drills or actual evacuations.

9. Manages all automated “faxes” received, forwarding them to our nurse case managers and other appropriate staff members for action. Faxes are to be sent out a minimum of 5 times daily (start of day, before lunch, after lunch, midafternoon and right before end of day).

10. Manages incoming and outgoing mail to include ensuring postage is loaded on the machine, taking outgoing mail to the drop off and collecting and disseminating incoming mail daily.

11. Continually looking for and supporting office automation opportunities.

12. Manages Facility issues, notifies building management of any deficiencies.

13. Orders office supplies, arranges for document shredding, ensures fax, printers and copiers are stocked with paper.

14. Performs other clerical duties as needed, such as filing, photocopying, and collating.

15. Adheres to federal law regarding protection and release of medical information.

16. Maintains regular and predictable attendance. Routinely works 8 hours per day in the OccMD office. Maintains accurate timekeeping records.

17. Attendance at all Employee meetings

18. Completion of all training requirements within scheduled timeframe

19. Performs other work-related duties as assigned.

Job Type: Full-time

Pay: $24.00 - $26.00 per hour
