Job Description
Addison Group is partnering with one of our clients to identify a highly capable Executive Assistant to support senior leadership. This role requires a detail-oriented professional who thrives in a fast-paced environment and can manage competing priorities with discretion and efficiency. The Executive Assistant will serve as a key administrative partner, ensuring day-to-day operations run smoothly while supporting broader organizational initiatives.
Key Responsibilities
Executive Calendar & Scheduling
- Manage complex calendars for senior executives, coordinating meetings and appointments across multiple stakeholders
- Proactively identify and resolve scheduling conflicts to maximize executive availability
Travel & Logistics Coordination
- Arrange domestic and international travel, including flights, lodging, and ground transportation
- Compile comprehensive travel plans to ensure seamless itineraries
Professional Communication
- Serve as a point of contact between executives and internal or external partners
- Prepare, edit, and review written communications, presentations, and reports
Meeting & Event Support
- Coordinate logistics for meetings, including agendas, materials, and follow-up documentation
- Capture meeting notes and track action items to ensure accountability
- Assist with planning and execution of events such as conferences and company initiatives
Document & Information Management
- Maintain organized digital and physical records, including contracts and sensitive documents
- Support the preparation and distribution of executive-level materials
Expense & Administrative Support
- Submit and reconcile expense reports in accordance with company guidelines
- Provide general administrative and project-based support, including coordination with cross-functional teams and timeline tracking
Qualifications
- 5+ years of experience supporting senior leadership in an executive administrative role
- Strong organizational skills with the ability to manage multiple priorities
- Clear and professional written and verbal communication abilities
- Proficiency with standard office and collaboration tools
- High level of discretion and professionalism when handling confidential information
- Bachelor’s degree in Business Administration or a related field preferred
