Accounts Receivable Specialist - Federal Contracts

The Accounts Receivable Specialist - Federal Contracts is responsible for managing and collecting outstanding payments on government contracts, ensuring compliance with federal regulations, and maintaining accurate records of all contract-related receivables within a government agency, utilizing specialized systems to track and resolve billing discrepancies with federal contracting agencies.
Job Summary:
The Federal Contract Accounts Receivable Specialist is responsible for managing and collecting outstanding payments on government contracts, ensuring compliance with federal regulations, and maintaining accurate records of all contract-related receivables. This role utilizes specialized systems to track and resolve billing discrepancies with federal contracting agencies, playing a critical part in maintaining the organization's financial health.
Essential Duties and Responsibilities:
- Prepare, post, verify, and record customer payments and transactions related to accounts receivable.
- Create invoices according to company practices and submit them to customers.
- Maintain and update customer files, including name or address changes, mergers, or mailing attentions.
- Draft correspondence for standard past-due accounts and collections, identify delinquent accounts by reviewing files, and contact delinquent accountholders to request payment.
- Create reports regarding the current status of customer accounts as requested.
- Research customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff.
- Collaborate with the Collections Manager to reconcile accounts receivable on a periodic basis.
- Assist in generating monthly billing statements based on the general ledger.
- Assist the Accounting Manager in reconciling revenue accounts each month.
- Copy, file, and retrieve materials for accounts receivable as needed.
- Relay changes of information to appropriate employees.
- Perform other related duties as assigned.
Requirements
- Associates Degree in Accounting, Finance, Business Administration, or a related field (Bachelor’s Degree Preferred).
- Minimum of three (3) years of experience in accounts receivable, preferably within the government contracting sector.
- Minimum of 2 years of NetSuite experience.
- Strong understanding of federal regulations related to government contract billing and collections.
- Proficiency in accounting software and Microsoft Office Suite, particularly Excel.
- Excellent analytical and problem-solving skills.
- Strong attention to detail and high degree of accuracy.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Strong organizational skills with the ability to manage multiple priorities.
