Job Summary
The Billing Specialist will work closely with the Business Development Team, partners and Accounting to provide timely and accurate billing and collections. This will include understanding and advising on the ministry wide receivables process performance, cash flow and improvements.
Essential Functions
Traffic Logs:
- Ensure billing and collections processes stay on schedule with regular report outs and checkpoint with the larger billing team
- Monitor receivables aging and ensure collections are progressing per policy, tracking status and follow up, communicating with the Shared Service Manager if delays or process concerns
- Actively look for ways to improve and optimize the billing and collections process, guiding the larger billing team on improvement opportunities
Financial Reporting and Processing:
- Daily: Assist with collections on past-due accounts or partner collection questions
- Daily: Reconcile billing issues, answer partner questions and resolve complaints
- Daily: Meet established performance goals and deadlines in ways that comply with company & client service level agreements.
- Weekly: Maintain accurate records within VersaPay/Intacct and processes for assigned accounts.
- Weekly: Process documentation and prepare reports as necessary to support account and partner requirements.
- Weekly: Draft and issue invoices or billing statements within VersaPay/Intacct based on contracts and Natural Log data as needed for variable contracts
- Weekly: Set up contract revenue recognition and recording within Intacct at start of contract
- Weekly: Process and post manual payments received in the Amegy lockbox and monitor VersaPay electronic payment status
- Weekly: Verify billing information for new partners and assist with setting them up within VersaPay/Intacct
- Monthly: Review and manage accounts receivables for overdue accounts and credits to apply
- Monthly: Assist in reconciling the accounts receivable consolidated balances to the general ledger for monthly close and reporting
- Monthly: Assist Accounting team with monthly close process ensuring revenue recorded and accounts receivable is accurate.
- Monthly: Assist in explaining changes in partnership revenue and status of accounts receivable.
Demonstrated Faith:
- Pray for coworkers in team meetings or with donors/listeners as needed
- Participate in Support Drives as needed
- Participate in ministry wide Christian bible studies
- Attend weekly Hope Huddle and team meetings for prayer and devotions
- Maintains a personal relationship with Jesus Christ. Is a consistent witness for Jesus Christ. Maintains a courteous, Christ-like attitude in dealing with people within and outside of the organization
Non-Essential Functions:
- Any other duties assigned
Education:
- High School Diploma or equivalent
Experience:
- 3-5 years billing and collections experience
- Plus: Sage Intacct experience
Knowledge, Skills and Abilities:
- Strong moral character
- Understanding of accrual accounting revenue recognition principles and concepts
- Strong administrative and organizational skills, written and verbal communication.
- Strong attention to detail and accuracy
- Ability to improve process and procedures, working towards continuous improvement
- Knowledge of accounting software, Sage Intacct and VersaPay billing module.
- Strong billing and collections skills and ability to handle large amounts of numbers
- Proficiency in Microsoft Office and database management
- Creative and enthusiastic, team player
- Heart for Christian ministry
- Has a personal relationship with Jesus Christ. Spiritually grounded and working knowledge of scripture
- Must be an active member of a Bible believing local church
