Admin / Accounting Assistant

We are seeking a dependable and organized Admin / Accounting Assistant to support both daily office operations and essential financial tasks. The ideal candidate will be detail-oriented, proactive, and skilled at balancing administrative duties with basic accounting support. This role requires strong communication, organization, and computer skills to assist with scheduling, document management, and financial record-keeping.
Responsibilities
Perform general administrative duties including filing, data entry, scanning, and document preparation
Assist with basic accounting functions such as accounts payable/receivable data entry and invoice processing
Answer and direct phone calls, greet visitors, and handle correspondence with professionalism
Reconcile bank statements and assist in preparing weekly or monthly financial reports.
Maintain office supplies inventory and ensure organized, efficient workspaces
Support internal teams with specialized reports, presentations, and financial documentation as needed
Ensure strict confidentiality and accuracy in all office, personnel, and financial records
Qualifications
High school diploma or equivalent
1 year of administrative, clerical, or basic bookkeeping experience preferred
Proficient in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks or similar software is a benefit
Strong organizational and multitasking abilities with a high level of accuracy
Excellent written and verbal communication skills
Professional demeanor with a strong attention to detail
Ability to work independently and as part of a team
Bilingual in Spanish and English is a plus
