The Clinical Educator supports the clinical workforce at Urology Austin by designing, delivering, and evaluating training programs for Medical Assistants (MAs) and other clinical support staff. This role ensures consistent onboarding, competency validation, regulatory compliance, and continuing education across the organization. The Clinical Educator works closely with Site Managers, clinical leadership, and other stakeholders as appropriate to uphold standards of patient care, develop scalable training infrastructure, and prepare staff for internal quality reviews and external audits. Reporting to this Position: None
Qualifications
- Registered Nurse (RN) preferred; other clinical credentials can be considered with relevant experience.
- Minimum 5 years of clinical experience in outpatient or specialty care. Urology experience is a plus.
- Experience leading training, education, or clinical workforce development programs required.
- Strong knowledge of clinical workflows, medical documentation, OSHA/HIPAA compliance, and outpatient procedures.
- Familiarity with EHR systems.
- Excellent verbal and written communication, organization, and instructional skills.
- Strong project management skills with the ability to design training systems, build documentation workflows, and implement scalable education tools from the ground up.
- Proficient in Microsoft Office Suite and training development tools.
Essential Job Duties
New Hire Training- Develop and deliver comprehensive onboarding programs for new MAs, including both classroom and hands-on instruction.
- Provide training in:
- Medical terminology
- Medical office procedures
- Electronic health record (EHR) workflows and documentation
- Clinical skills (e.g., vital signs, phlebotomy, injections)
- Regulatory compliance (e.g., HIPAA, OSHA, infection control)
- Specimen collection, labeling, and Clinitek testing
- Urology-specific workflows, including PTNS
- Coordinate with site leadership to assign preceptors, track training progress, and ensure successful onboarding.
- Lead the Preceptor Program, including training and supporting preceptors.
- Identify training needs through manager feedback, audits, incident trends, and performance reviews.
- Deliver targeted refreshers and re-education based on clinical concerns or policy changes.
- Manage and maintain the MA Competency Program, including annual validations, return demonstrations, and documentation of skill completion.
- Educate staff on clinical documentation best practices to ensure accuracy and regulatory compliance.
- Support cross-training initiatives to increase float staff readiness and flexibility across sites.
- Develop and maintain an annual training calendar outlining mandatory competencies, policy refreshers, and continuing education opportunities.
- Provide on-the-job training and coaching in clinic settings.
- Observe staff performance and provide real-time feedback and skills reinforcement.
- Conduct follow-up education after clinical incidents or audit findings.
- Assist in troubleshooting workflow gaps and support consistent application of clinical standards.
- Create and maintain a library of up-to-date training materials, including:
- Training manuals
- PowerPoint presentations
- Visual job aids and checklists
- Online learning modules and reference tools
- Design visual workflows and diagrams to aid in training consistency.
- Establish a centralized training library accessible to all staff and regularly update materials to reflect evolving standards and policies.
- Design and implement processes to track onboarding progress, training participation, and clinical competency completions.
- Track and measure training effectiveness through assessments, return demonstrations, and manager feedback.
- Analyze training and performance trends to inform curriculum updates and address risk areas.
- Prepare regular reports summarizing training activity, audit readiness, and staff development outcomes.
- Develop scalable tools and documentation systems to support long-term training infrastructure and continuous improvement.

- Work Environment: Primarily a clinic office setting with moderate noise. Frequent interaction with staff and patients. Minimal exposure to communicable diseases. May experience periods of stress when dealing with time-sensitive tasks or sensitive situations.
What Success Looks Like in the First 90 Days
By 30 Days- Conduct a baseline assessment of current training practices, competency documentation, and onboarding gaps across clinic sites.
- Begin shadowing clinical staff to observe workflows, documentation practices, and training needs.
- Launch an onboarding checklist and training tracker for new Medical Assistants; test use at one clinic.
- Start building a centralized resource library for clinical training materials and tools.
- Draft an initial training calendar identifying key topics, deadlines, and recurring education needs.
- Implement and pilot a structured onboarding curriculum for new MAs, including clinical skills checklists and return demonstrations.
- Begin rolling out visual job aids or quick-reference tools to standardize common tasks.
- Partner with at least two Site Managers to validate MA competencies using a standardized evaluation process.
- Identify and address one critical gap in clinical knowledge or compliance through targeted refresher training.
- Establish a process for documenting competency completions and tracking training activity.
- Finalize and roll out a standardized MA training and competency validation process across multiple locations.
- Be recognized as the clinical education point person by site leadership and support staff.
- Complete one round of internal training reporting, summarizing completions, gaps, and next steps.
- Launch the first full training cycle using your annual calendar and resource library.
- Recommend one system or process improvement related to clinical onboarding, policy education, or audit readiness.
