Overview
The Assistant Project Manager (APM) will support the lead Project Manager and Field Team on a high-profile custom residential project in San Antonio. This role is ideal for a motivated, organized, and detail-oriented professional with strong communication and technical skills. The APM will play a key role in coordinating subcontractor documentation, processing project financials, managing construction documentation in Procore, and ensuring streamlined execution through proactive organization and reporting.
The APM is not expected to take on every task independently but will work in close collaboration with the Project Manager to drive progress across multiple fronts. This is a unique opportunity to step into a highly visible project and grow within a team that values initiative, precision, and partnership.
Key Responsibilities
Project Coordination & Documentation
- Maintain and continuously improve the organization of all project documentation within Procore, ensuring that drawings, schedules, specifications, submittals, RFIs, and photos are clearly linked, current, and easy to navigate for the entire project team.
- Standardize file naming conventions and audit RFIs, submittals, and schedules for completeness.
Financial & Contract Support
- Work with PM to issue subcontracts with clarity of scope and confirm subcontractor compliance prior to start of work.
- Assist in invoice review, coding, and processing
- Support development and processing of monthly change orders and client billing, including reconciliation with budget line items and assisting the Project Manager in tracking project financial health.
Communication: Meetings & Reporting
- Prepare and distribute consistent meeting notes and action items for all project meetings, including client and rep/designer check-ins.
- Track weekly jobsite progress, photo documentation, material delays, and trade activity in weekly reports.
- Create and maintain summary logs for RFIs, ASIs, and Submittals, cross-referenced with relevant drawings and scopes.
Procurement & Quality Oversight
- Research lead times, substitutions, and compliance for material procurement.
- Track delivery and on-site storage of critical materials.
- Assist in monitoring installation quality and creating/following up on punch list items.
- Support field team by flagging deviations from specs/plans and proactively communicating potential issues.
- Assist in the execution of assigned scopes of work on the jobsite, with opportunities for hands-on learning and future growth in field and project management responsibilities.
Qualifications
- 5+ years’ experience in construction (preference for residential), ideally in an APM, Project Engineer, or Administrator role.
- Proficiency with construction software (Procore preferred), Microsoft Office Suite, and Bluebeam. (required)
- Ability to manage multiple responsibilities with exceptional attention to detail and follow-through.
- Strong written and verbal communication skills.

- Bachelor’s degree in construction management, Architecture, Engineering, or relevant experience.
