General Summary

At the Houston Housing Authority, we make a Positive Difference. The Information Technology (IT) Technical Admin makes a difference in our employees' jobs, customers, and the Houston area. This position is a crucial member of our Information Technology team that reports to the Director of Information Technology.

The IT Technical Admin is responsible for supporting the Director of IT and providing administrative services for the department. These duties will include assisting the IT Director with reporting, documentation, technical assistance and other duties. Technical duties will include, but not limited to, assigning hardware, technical document processing, network and application passwords resets, and order supplies for the IT department. They will also audit and enter invoices into our PO system. The position also answers the phone for the IT Department and the I.T. Director in managing his/her schedule. They will manage special Information projects assigned by the IT Director. They will also perform other duties and tasks as the Director of Information Technology gives them.

Principal Duties and Responsibilities

The key responsibilities and deliverables of this role include but are not limited to the following:

  • Manage and assign tickets for tickets not automatically assigned.
  • Work with leadership and staff on IT Service delivery processes, including creation, continuous review, and optimization.
  • Assists in the development and implementation of hardware, software and equipment standards and procedures
  • Oversees computer provisioning and deployment of I.T. assets based on established standards.
  • Demonstrated skills Microsoft Office computer programs (specifically, EXCEL, Outlook, PowerPoint, Word)
  • Assist in Information Technology purchases and vendor management.
  • Collect and analyze customer feedback, adjusting as needed to ensure customer satisfaction.
  • Screens/prioritizes/directs incoming calls and email/correspondence taking appropriate actions as necessary for the IT Director.
  • Generates department correspondence and/or reports.
  • May maintain the IT Director's and corresponding department's calendars, coordinate meetings, and/or set appointments.
  • Provides clerical support, direction, guidance, and/or training to company departments.
  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies.
  • Coordinating meetings and conferences.
  • Manage the I.T. conference room schedule
  • Monitor I.T. supplies order as needed andor requested.
  • Maintain I.T. department inventories.
  • Assign Company Cell phones as requested.
  • Assist in developing processes and internal documentation various administrative tasks.
  • Performs other duties as assigned by the Director of Information Technology.

Knowledge, Skills, and Abilities

  • 1+ years of Information Technology experience, highly preferred.
  • Knowledge of Basic Information Management Support, networking and Systems.
  • Have excellent organization, prioritization, and communication skills.
  • Skilled in operating general office machines and computers.
  • Strong planning, organizing, coordinating, problem solving skills.
  • Effective communications skills (both speaking and writing).
  • Experience scheduling meetings, publishing agendas, and taking minutes (Zoom, MS Teams)
  • Experience making travel arrangements, preparing visit requests, and expense reports.
  • Ability to read and interpret technical data and verbiage.
  • Ability to establish and maintain effective working relationships with other staff.
  • Good time-management skills.

Complexity/Scope of Work

  • The employee performs various related tasks that vary from simple to highly complex, depending upon the nature of the problem or request. The course of action is determined by the supervisor and by established procedures.
  • The employee may coordinate, integrate, or prioritize tasks.
  • The employee's work affects the output of the Information Technology Department and Houston Housing Authority.
  • Successful performance of duties by the employee will enhance the ability of all Houston Housing Authority functional units to provide decent, safe, and sanitary public housing efficiently and effectively.

Guidelines

The employee follows established HUD and Houston Housing Authority policies and procedures and the programming profession guidelines. These guidelines cover most job-related situations, and the employee occasionally is required to use independent judgment in making decisions. If guidelines do not cover a situation, the employee consults the supervisor typically. Policies, procedures, and guidelines are generally specific and clear.

Supervisory Controls

  • The employee receives assignments and instructions from the Director of Information Technology. Depending on the project, the course of action, deadlines, and priorities may be established by procedure, the supervisor, or the employee.
  • The employee initiates routine activities without supervisory direction.
  • Problems or situations not covered by instructions are generally referred to the supervisor for resolution.
  • The employee's work is reviewed for accuracy, completion, and compliance with policies and procedures.

Personal Contacts

Personal contacts are primarily with other employees, consultants, contractors, vendors, and computer hardware and software companies. The purpose of such connections is to obtain and provide information on computer system requirements for data processing and hardware and software, resolve problems, provide services, interrogate, and make decisions.

Physical Demands/Work Environment

  • Work is principally sedentary but may involve physical exertion, such as kneeling, crouching, lifting some objects, and eye strain from working with computers and other office equipment.
  • Work involves the normal risks or discomforts associated with an office environment but is usually in an adequately heated, lighted, and air-conditioned area.

Minimum Qualifications

  • Associate's degree and at least one (1) years of experience or an equivalent combination of education and experience.
  • Basic Knowledge of I. T. methodology. systems and management.
  • Information Technology Support Knowledge Preferred.
  • Two years' experience as Technical Administrative Assistant or similar duties.
  • Bondable.
  • Valid Texas driver's license.
  • Eligible for coverage under Houston Housing Authority fleet auto insurance.
