Administrative Position

Job Summary:
The Pecos Area Chamber of Commerce/CVB is seeking a detail-oriented and highly organized Administrative Assistant to support the day-to-day operations of our organization. As the Administrative Assistant, you will play a crucial role in providing administrative and clerical support to the Chamber of Commerce and Convention & Visitors Bureau (CVB) teams. Your primary responsibilities will include coordinating office activities, managing communications, and assisting with event planning. This is an excellent opportunity for a motivated individual with excellent organizational skills and a passion for promoting local businesses and tourism.
Responsibilities:
1. General Administrative Support:
- Manage incoming calls, emails, and correspondence, and provide timely responses or redirect as necessary.
- Maintain and update office records, documents, and databases.
- Prepare and distribute memos, letters, reports, and other documents as required.
- Organize and maintain files, both physical and digital, ensuring easy retrieval of information.
- Assist with the preparation of presentations, reports, and meeting materials.
- Coordinate meetings, conferences, and appointments, including scheduling, agenda preparation, and venue arrangements.
2. Communication Management:
- Serve as a point of contact for members, visitors, and stakeholders, providing information and assistance.
- Manage the organization's social media accounts, website updates, and online communications.
- Assist in the preparation and distribution of newsletters, promotional materials, and press releases.
- Collaborate with the marketing team to ensure consistent and effective communication strategies.
3. Event Planning and Support:
- Assist in the planning, coordination, and execution of Chamber/CVB events, including conferences, workshops, and networking events.
- Coordinate logistics, such as venue selection, vendor coordination, catering, and equipment setup.
- Assist in maintaining event budgets, tracking expenses, and processing invoices.
- Provide on-site support during events, including registration, attendee management, and troubleshooting.
4. Membership Support:
- Assist in maintaining the Chamber/CVB membership database, ensuring accurate and up-to-date records.
- Respond to membership inquiries, provide information on benefits, and assist with membership renewals.
- Assist in planning and executing member-focused initiatives and activities.
Qualifications:
- High school diploma or equivalent; additional administrative certifications are a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficient in using office software (e.g., Microsoft Office Suite) and familiarity with basic accounting software.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Attention to detail and accuracy in work.
- Ability to work independently and prioritize tasks effectively.
- Professionalism and a customer-service-oriented mindset.
- Knowledge of Pecos area businesses, tourism, and local community is a plus.
The Pecos Area Chamber of Commerce/CVB offers a competitive hourly wage commensurate with experience.
