Job Summary:

The Pecos Area Chamber of Commerce/CVB is seeking a detail-oriented and highly organized Administrative Assistant to support the day-to-day operations of our organization. As the Administrative Assistant, you will play a crucial role in providing administrative and clerical support to the Chamber of Commerce and Convention & Visitors Bureau (CVB) teams. Your primary responsibilities will include coordinating office activities, managing communications, and assisting with event planning. This is an excellent opportunity for a motivated individual with excellent organizational skills and a passion for promoting local businesses and tourism.

Responsibilities:

1. General Administrative Support:

  • Manage incoming calls, emails, and correspondence, and provide timely responses or redirect as necessary.
  • Maintain and update office records, documents, and databases.
  • Prepare and distribute memos, letters, reports, and other documents as required.
  • Organize and maintain files, both physical and digital, ensuring easy retrieval of information.
  • Assist with the preparation of presentations, reports, and meeting materials.
  • Coordinate meetings, conferences, and appointments, including scheduling, agenda preparation, and venue arrangements.

2. Communication Management:

  • Serve as a point of contact for members, visitors, and stakeholders, providing information and assistance.
  • Manage the organization's social media accounts, website updates, and online communications.
  • Assist in the preparation and distribution of newsletters, promotional materials, and press releases.
  • Collaborate with the marketing team to ensure consistent and effective communication strategies.

3. Event Planning and Support:

  • Assist in the planning, coordination, and execution of Chamber/CVB events, including conferences, workshops, and networking events.
  • Coordinate logistics, such as venue selection, vendor coordination, catering, and equipment setup.
  • Assist in maintaining event budgets, tracking expenses, and processing invoices.
  • Provide on-site support during events, including registration, attendee management, and troubleshooting.

4. Membership Support:

  • Assist in maintaining the Chamber/CVB membership database, ensuring accurate and up-to-date records.
  • Respond to membership inquiries, provide information on benefits, and assist with membership renewals.
  • Assist in planning and executing member-focused initiatives and activities.

Qualifications:

  • High school diploma or equivalent; additional administrative certifications are a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in using office software (e.g., Microsoft Office Suite) and familiarity with basic accounting software.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy in work.
  • Ability to work independently and prioritize tasks effectively.
  • Professionalism and a customer-service-oriented mindset.
  • Knowledge of Pecos area businesses, tourism, and local community is a plus.

The Pecos Area Chamber of Commerce/CVB offers a competitive hourly wage commensurate with experience.
