Fleet Lease Administrative Coordinator
: Overview:
Houston Auto Auction, in partnership with EBlock, is looking for a(n) Fleet/Lease Admin Coordinator to join the team! The Fleet Lease Administrative Coordinator is a key player in our operations team, focused on delivering exceptional customer service and efficient administrative support. This role involves a blend of direct customer interaction, coordination with internal departments, and meticulous attention to detail, making it ideal for a proactive and service-oriented individual.
Responsibilities:What you will do:
Consistently provide prompt and courteous service via email, phone, and in-person interactions, ensuring every customer experience is marked by friendliness and adherence to professional etiquette.
Maintain a composed and professional demeanor at all times, demonstrating calmness and resilience, especially in challenging situations.
Ensure customer queries receive efficient and courteous attention.
Collaborate with the Mechanic Shop Coordinator to manage vehicle work orders, ensuring timely and accurate communication of vehicle issues and repair costs to customers.
Aid in the timely and accurate updating of condition reports (CRs) post-repairs, ensuring charges are posted and work orders are closed.
Prepare and refine sale-day announcements, including managing updates for vehicle statuses and associated inspection fees.
Address and help resolve customer complaints in a friendly manner, escalating serious issues to the Fleet Lease Manager.
Assist in organizing fleet lease lanes for auction sales.
Maintain effective communication with the Fleet Lease Supervisor, ensuring adherence to directives, bulletins, and schedules.
Coordinate supply and form orders with the Office Supervisor.
Act as a representative for absentee seller customers on Sale Day, overseeing transactions per customer instructions.
Contribute to record-keeping for sales promotions, advertising, and telemarketing.
Propose improvements in customer services and procedures to the Fleet Lease Supervisor.
Oversee Fleet Lease Accounts, ensuring compliance with sale plans and company policies, and assisting with corrective procedures.
Monitor adherence to customer contracts and supplier agreements.
What you will need:
High School diploma or GED, with a minimum of 1 year in a customer service-focused role.
Prior clerical experience is highly regarded.
Previous experience in an auction environment preferred.
High proficiency in typing, communication, and email correspondence.
Bilingual ability in Spanish and English is advantageous.
Must be qualified to operate a motor vehicle and possess a valid driver's license.
