Position Summary
Provide administrative support to one or more people in a specified department. Perform clerical tasks required in preparation of routine correspondence and reports. Ensure continuance of office routine in supervisor’s absence and handle administrative work supervisor is unable to tend to. Maintain supervisor’s calendar and schedule appointments and meetings.
Role Responsibilities
Manage calendars and schedule appointments (including personal).
Screen incoming calls and correspondence and respond independently when possible.
Create and maintain spreadsheet files.
Establish and maintain filing systems.
Analyze data
Assist with imputing training
Review all incoming new hire, drug test and physical from clinics
Create flow charts and process.
Assist with new hire orientation as needed.
Organize programs, events, meetings or conferences by arranging facilities (projectors, beverage, food etc.), issuing information or invitations, coordinating speakers and controlling event budget.
Prepare agendas, notices, meeting minutes and resolutions for corporate meetings.
Compose and prepare confidential correspondence, reports and other complex documents.
Respond to routine external correspondence.
Type memos, purchase requisitions, payment requests and other department forms and documents.
Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings in a cost-conscious manner.
Prepare monthly expense reports.
Maintain confidentiality of all corporate, personnel, and research matters.
Update company information on a monthly basis.
Perform other duties as assigned.
Qualifications
Receives direct supervision.
Performs administrative or technical responsibilities.
Objectives based on established guidelines, processes and operating procedures.
Coordinates own tasks with a specific range of responsibilities in accomplishing well defined outcomes.
Work is generally structured or recurring
Relevant past experience is not necessarily required.
Entry-level, non-exempt positions.
